Fleet Dispatcher and Data entry
Job description
JOB SUMMARY:
Distribute work to Technicians based on technician’s skills, urgency of a problem, aging of the problem, geography/distance of the customer, nature of the work, and other cost factors (e.g. gas, mileage, and parts). Owns calls received from beginning to end. Follows company policies, procedures and practices related to dispatch. Email a report at end of shift to all managers with follow ups and worksheets completed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Prioritize calls (answer incoming calls and backlog).
- Assign and dispatch technicians on the calendar.
- Work with Service and Operations Managers to address open calls.
- Respond to inquiries on the service email.
- Create and distribute required reporting.
- Develop and maintain a filing system
- Order office supplies
- Submit and reconcile expense report
- Provide general support to visitors
- Provide information by answering questions and requests
- Take dictation
- Research and creates presentations
- Generate reports
- Handle multiple projects
- Prepare and monitor invoices
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
- Contribute to team effort by accomplishing related results as needed
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Organize travel arrangements for senior managers if need it
- Write letters and emails on behalf of other office staff
- Book conference calls, rooms, taxis, couriers, hotels, etc.
- Cover the reception desk when required
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Take accurate minutes of meetings
- Coordinate office procedures- order HR books
- Reply to email, telephone, or face to face inquiries
- Develop and update administrative systems to make them more efficient
- Resolve administrative problems
- Receive, sort, and distribute the mail
- Maintain up-to-date employee holiday records, Unpaid vacation, PTO, call out, sick time, etc.
- Coordinate repairs to office equipment
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of other colleagues (New hire paperwork and review it has been fully completed)
- Provide polite and professional communication
- Implement clerical duties and administrative processes
- Conduct data entry
- Enter Work orders and parts for technicians to the billing system FullBay.com
- Confirm restaurant reservations for senior staff if need it
- Collect from the job if applicable (Com-checks, EFS, T-check and Credit cards or cash).
- Maintain proactive communication with customers regarding repairs and submit estimates for repairs for approval.
- Daily, review all incomplete calls and update customers via email, phone call or via the customer portal (FNAUPDATE.COM) with statues or completion of repairs.
- Maintain entry and verify nightly “on call” crew.
- Understand the geography of the market and understand the technicians.

WORKING CONDITIONS:
· It is a full-time position working from company office in Norcross GA. Opportunity for growth base on employee performance and accuracy on tasks.
· $17.5 - $19.5/hour
