We are looking for a HR Administrator to support our Human Resources function. You will report to the CEO, and you will act as the first point of contact for HR-related queries from employees and external partners. Our HR management is outsourced to an external HR service company. You will ensure the accuracy of our employee data on their software platform and you will be the link person for communication with our providers support team including; our dedicated HR manager and their recruitment team.
Key Purpose of role:
Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating and reporting on internal HR metrics. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.
You should be able to handle employee queries and work with our HR provider’s experts to address any issues that arise from time-to-time.
Key Responsibilities and Duties:
- Maintain personnel records on HR platform
- Update internal data files (e.g. track key HR metrics including recruitment metrics )
- Prepare HR documents, like job specifications, employee induction documents etc
- Support our line managers with the recruitment process, from initial job specification creation through to employee induction, to meet our time-to-hire targets.
- Ensure line managers have adequate training processes and training materials for new staff
- Edit company policies if required
- Liaise with external partners to ensure we are implementing HR best practices
- Create regular reports and presentations on HR metrics (e.g. turnover rates, compensation benchmarks etc)
- Answer employees queries about HR-related issues
- Assist payroll department by providing relevant employee information every month (e.g. for leavers, new hires, expenses etc)
- Participate in new HR projects
- Handle other tasks or projects that may arise from time to time.
Key Skills and Competencies:
- Proven work experience as an HR Administrator, HR Administrative Assistant or relevant role
- Experience with HR software platforms beneficial (e.g. HR management and HR experience platforms)
- Computer literacy (MS Office applications, in particular)
- Excellent organizational skills, with an eye for detail
- Exceptional phone, email and in-person communication skills are essential, must be a people person
- BS in Human Resources or relevant field desirable
