DEPARTMENT PURPOSE: Attract, develop, and retain high potential individuals to support the mission of the OSU Foundation.

PRIMARY PURPOSE: The HRIS administrator provides functional support and guidance in the utilization and application of all HR, Payroll, Benefits and Talent Management systems.

KEY AREAS OF FOCUS:

HRIS Processes (75%)-

  • Prepare Personnel Action Forms, obtain necessary approvals and enter changes within UKG.
  • Oversee and ensure timely timecard approvals to prepare semi-monthly and monthly payroll in UKG.
  • Maintain company organization chart, headcount, turnover and other standard reports.
  • Assist in maintaining HR related policies and procedures within PolicyTech.
  • Assist Talent Acquisition by scheduling interviews, conducting phone screens, preparing itineraries, collecting interview feedback as needed and documenting within UKG Recruitment Solution, when needed.
  • Assist Organizational Development within Learning Management System in UKG Pro Learning to include training events, courses, curricula, content, onboarding, and employee training registration
  • Using broad understanding of system functionality and HR processes (Core, Recruiting, Benefits, Time and Attendance, Talent, Payroll, Learning, Reporting), respond to identified problems and requests; interpret, analyze, diagnose, resolve and collaborate with necessary resources.
  • Conduct new employee orientation and HRIS training; prepare paperwork required to place or remove employee from payroll
  • Documentation of processes, workflows, and results.


HRIS Management (25%)-

  • Oversees and maintains optimal function of the HRIS, which may include customization, development, maintenance, and upgrade to applications, systems, and modules.
  • Identifies system improvements and enhancements; recommends and implements solutions.
  • Manages permissions, access, personalization, and similar system operations and settings for HRIS and LMS users.
  • Serves as lead representative and liaison between HR, Information Strategy external vendors, and other stakeholders for HRIS design and implementation projects.
  • Ensures system compliance with data security and privacy requirements.
  • Maintains knowledge of trends and developments in HRIS providers, vendors, and technology.
  • Writes, maintains, and supports a variety of reports, queries, or automated interfaces using appropriate reporting tools within HRIS. Responsible for the development of standard and custom reports and dashboards. Serve as the liaison for report and data requests from executives and managers.

JOB COMPETENCIES AND EXPERIENCE:

Education & Certifications-

  • Bachelor’s degree in Human Resources Administration, Information Technology, or Business Administration, or related field.


Experience-

  • 2-3 years HRIS experience highly preferred.
  • Requires prior knowledge of principles and practices of human resources.
  • Word processing, database, spreadsheet and basic query knowledge necessary (MS Word, MS Outlook, MS Excel, MS Access, Internet Explorer, MS PowerPoint). Ability to learn in-house computer systems.
  • Must possess excellent attention to detail and accuracy, communication skills (both written and verbal); editorial skills; judgment, organizational planning and diplomacy, and professionalism. Ability to work effectively as a member of a team. Must adhere to strict confidentiality standards.
  • Requires detailed work, problem solving, and multiple concurrent tasks in a complex environment. Ability to adhere to deadlines and manage multiple assignments simultaneously.

PHYSICAL REQUIREMENTS: Must use a computer terminal and view a computer screen for extended periods of time. Must talk in person or by phone (frequently and sometimes for extended periods) to people on campus and across the country. Must constantly use visual acuity to check printed and designed materials of various types. Must be able to navigate within the OSU Foundation. Typical office working conditions.
