We are recruiting for an office specialist to join our District 2B Office in Clackamas! In this role, you will provide office organization, clerical and support services to district leadership and field crews. A day in the life:
  • Operate a multi-line telephone system and screen and route calls appropriately.
  • Provide callers with information about road and weather conditions, road closures, construction or other roadway projects.
  • Greet and direct visitors coming to the District 2B Office to appropriate destination, meeting or appointment.
  • Order office supplies, equipment or furniture.
  • Prepare and process vendor invoices for payment, matching purchase documents to appropriate invoices.
  • Resolve discrepancies, review and apply payment terms and conditions from invoices, price agreements and contracts.
  • Maintain the conference room schedule and take minutes during meetings.
  • Type, proofread and edit correspondence, notes or minutes, and schedule job interviews.
  • Maintain filing system and manuals.
  • Receive, sort, distribute and/or file mail.
  • Prepare, review and proofread timesheets for accuracy before entering them in the Oregon state payroll system.
  • Compile and distribute reports on State Accident Insurance Fund (SAIF) claims.
  • Work in an office environment – typical office hours are 7 a.m. – 4 p.m., Monday through Friday.

What we need:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents;
OR
An associate's degree;
OR
Graduation from a private school of business with a certificate and one year of general clerical experience.
