The Academic Affairs Program Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

The Academic Affairs Program Coordinator administers key programs in support of Academic Affairs. Coordinates provision of NMHC resources and support services required by the health system’s graduate and undergraduate (GME and UME) educational programs. Maintains strong relationships with leadership, physicians and trainees to advance the goals and objectives of NMHC and Academic Affairs. Facilitates close relationships with NMHC internal constituents, McGaw staff members and GME Program Directors and Coordinators. With the Academic Affairs team, serves as point person for educational administrative issues

Responsibilities:

  • Coordinate process for developing, approving, and renewing educational agreements for residents fellows, and medical students
  • Plan and execute new house staff onboarding and orientation with AA Program Manager
  • Oversee visiting trainee onboarding logistics, including corporate health clearance, IT and ID access
  • Proactively identify issues and partner with appropriate parties to resolve.
  • Support Director and Manager with expense processing and monitoring; manage Academic Affairs purchasing and expenses.
  • Partner with AA team and Office of Well-being for trainee, Program Director, and Program Coordinator well-being initiatives
  • Coordinate and administer trainee meal programs
  • Oversee and monitor use of on-call rooms, resident lounge, resident work rooms, lockers, on-call parking, lab coat laundering.
  • Support Academic Affairs Manager in preparation and implementation of accreditation/regulatory activities and ongoing compliance with regulatory standards (both ACGME and NMHC).
  • Develop and maintain NMI page for residents and fellows.
  • Create and send routine and emergent communications to residents, fellows, students, and the training programs.
  • Respond to inquiries for information about Academic Affairs ((e.g., telephone, email, walk-ins); maintain the Academic Affairs email address
  • Facilitate and monitor GME quality improvement, process improvement and patient safety participation (e.g., coordination of DMAIC participation with NMHC Quality, tracking attendance at NMH M&M and quality meetings).
  • Maintain contacts across GME programs, clinical departments, FSM, and NMHC operating units.
  • Participate in other assigned projects related to data support, maintenance, and IT system integration for Academic and Medical Affairs (MSO) offices.
  • Other duties as assigned

Competencies/Performance Expectations:

  • Individual functions as a liaison with Northwestern University Feinberg School of Medicine and its McGaw Medical Center with the goal of advancing GME and ensuring the best possible patient care and academic environment at Northwestern Medicine. The Academic Affairs Program Coordinator is expected to consistently model the core NM values of integrity, patients first, excellence, and teamwork in all interactions with everyone at the medical center.


Qualifications

Required:

  • Bachelor’s degree required.
  • Two to four years of experience in healthcare setting or other business environment.
  • Excellent communication skills (both oral and written).
  • Strong analytical and time management skills with ability to balance competing priorities.
  • Approach problem solving from multiple angles.
  • Outstanding interpersonal skills to build and maintain working relationships with diverse population served.
  • Customer service driven; team-oriented work ethic.
  • Exceptional computer proficiency and technical aptitude with the ability to utilize Microsoft Office Suite programs, specifically Outlook, Word, Excel and PowerPoint, required.


Preferred:

  • Three to five years of experience in academic healthcare setting.
  • Graduate medical education experience and/or knowledge.
