Quotations Coordinator

WHAT YOU'LL DO:
The primary focus of the Quotations Coordinator is to maintain and exceed customer satisfaction by being the liaison between the customer and the quotations group. This person will also directly assist customers with inquiries via Phone, fax, email and counter sales. Quotations Coordinator works closely with the Quotations team to ensure that jobs get entered in Job Management and are completed by the customer required date.
Strong technical skills and experiences:
Maintain Quotation inboxes.
- Receive quotes via fax, email, outside account manager, or customer.
- Log job into JOB Management
- Assign and send request to quoter and account manager.
- Boxes are to be empty by the end of the business day or All RFQ read and acknowledged.
- Maintain quote log tally sheet for weekly reporting to management
- Send all Addendums and additional information regarding all RFQ from customer to quoter..
ComEd. Rebates
- Receive rebate data from the IT department, based on our monthly sales, and modify/filter excel spreadsheet and complete all missing data to have the report turned in by the 10th of each month.
- Submit completed spreadsheet in an organized and professional layout to ComEd.
- Upload Com Ed Approved Product list to Share Point every Monday for all in Steiner to view and utilize for confirming product instant discount information.
- Answer phone calls and e-mails from anyone in Steiner to advise product clarification on whether a product qualifies for rebate and help in how to process an instant rebate order.
- Consult with Com Ed on any updates regarding the program and clarify any questions on certain products.
ComEd Standard Program
- Receive pre-application requests from Account Managers and customers to forward over to ComEd via email or their online portal. Checking for accuracy and completeness of pre-application.
- Send completed pre-application in on behalf of end-user/customers with a ComEd workbook that will determine an added incentive to upgrade to LED lighting.
- Monitor progress of projects to ensure they are completed on time by communicating with the Account Manager, end-user, and contractors. Tracking projects using Excel Spreadsheet with job name and due date.
- Send in final applications on behalf of customers/end users to finalize a project with incentive to eventually ensure an incentive check is received at completion of any lighting project.
Submittal Packages for Lighting Quotes
- Use Submittal 123 to be able to take the Lighting BOM data and compile into an organized and professional package for the customer.
WHAT YOU'LL NEED:
- High school diploma or equivalent required. College experience or degree preferred.
- Two- or three-years’ experience in customer service field is preferred.
- Able to handle customer complaints and diffuse angry or difficult customers.
- Experience in or knowledge of the lighting industry and gear products is beneficial.
- Able to multi-task, be organized, detail-minded and have a sense of urgency.
- Able to work independently, as well as a team member.
- Must be fluent in English, and additional language skills are beneficial.
- Proficient in Microsoft Office Word, Excel and Outlook.
- Able to take telephone calls, transfer calls, park calls, leave voicemails, use the phone directory, create and update personal voicemail greeting, daily if necessary, and page.
- Always maintains a positive attitude with customers and co-workers.
