JOB TITLE: Receptionist & Administrative Assistant (focus on Sales)

JOB LOCATION: Oak Park, IL

EMPLOYMENT TYPE: Full-time (32-40 hours a week) beginning immediately with a period of on-the-job training.

COMPENSATION: Starting pay is $17-20 an hour based on experience.

REPORTING: This position works alongside the Secondary Admin at the front desk and reports to the Office Manager. Coordination with Class Instructors and Director occurs daily.

EMPLOYMENT SUMMARY: Dance studio in Oak Park is looking to fill a full-time, Reception & Administrative Assistant position which includes responsibilities of Sales, Customer Service, and Administration.

A typical weekday for this position begins at 2:00pm with office work before customers arrive. This might include responding to customer or internal emails, returning phone calls, processing registrations, and general customer account management. Customers arrive for classes between 3:30pm and 8:30pm. This time is spent greeting students, assisting with customer service needs, making retail sales, following up on prospective enrollments or rentals, and giving facility tours. While instructors manage activities inside the classrooms, this position supports the Secondary Admin position in managing the studio lobby, ensuring a safe, clean, and welcoming environment. The evening typically ends around 9:30pm when this position ensures all students are picked up and closes the facilities for the night.

1. Sales

  • New enrollments
  • Processing registrations
  • Trials
  • Tours
  • Retail
  • Sizing for dancewear
  • Completing merchandise sales if a non-school customer (accepting cash/chk/cc)
  • Coordinate closely with Retail Manager
  • Handling all merchandise customer service items
  • Rentals
  • Communicate with prospective facility rental clients
  • Billing
  • Facility preparation
  • Coordinate closely with Office Manager for scheduling rental coverage

2. Customer Service

  • Lobby supervision & presentation
  • Primary customer service
  • Phone calls
  • Emails
  • General customer account management
  • Enter account information
  • Register and modify student enrollments
  • Accept payments
  • Place & run tuition charges
  • Place & run costume charges
  • Audit costume charges (assistants, non-performing, etc)

3. Admin support (Primary Admin)

  • Attendance records
  • Recommendation Form completion
  • Team Invitation completion
  • Title slides of recital media
  • Studio mailbox
  • Additional administrative support as needed

SHIFT SUMMARY:

This position includes primarily weekday afternoon/evening and weekend daytime hours. Hired employee will work 5 days a week and may be scheduled on a varying combination of weekday and weekend days.

A sample schedule might be:

  • Sunday 9:30am-5:30 p.m.
  • Monday 2:00-9:30 p.m.
  • Tuesday 2:00-9:30 p.m.
  • Wednesday 2:00-9:30 p.m.
  • Thursday 2:00-9:30 p.m.
  • Friday off with the exception of special events
  • Saturday off with the exception of special events

QUALIFICATIONS:

  • Applicants must submit to and pass a background check for working with children.
  • Reliable mode of transportation enabling dependable timeliness required
  • High school diploma or equivalent required; some college a plus
  • Prior receptionist, administrative, customer service, or sales experience required
  • Dance background an advantage
  • Prior experience working with children an advantage

JOB REQUIREMENTS:

  • Understanding and enthusiasm for the sales process
  • Enjoyment of administrative duties
  • Strong attention to written and numeric detail
  • Delight in interacting with parents and children
  • Composure to clearly communicate policy while de-escalating customer service situations
  • Willingness to partake in light housekeeping duties (we have a separate custodial crew overnight)
  • Ability to manage groups of 15-30 children
  • Knowledge of studio memberships, policies, tuition structure and fees
  • Timely, reliable attendance
