POSITION SUMMARY

The receptionist duties and responsibilities are to ensure the front desk welcomes guests positively and executes administrative tasks to the highest quality standards.

Responsible for providing professional quality and efficient service to customers, contractors and visitors in a GMP environment. Perform a variety of clerical work such as scanning records, ordering customer lunches, keeping track of attendance for meetings, and scheduling meetings. Gather data and perform additional duties such as checking bills, purchase orders, petty cash records, keeping running totals of net figures, and prepare simple reports.

ESSENTIAL FUNCTIONS

  • Greets visitors and vendors at the front desk, welcoming, directing and announcing them appropriately
  • Manages corporate switchboard to include answering, screening, and forwarding incoming calls and request.
  • Ensure reception area is tidy and presentable
  • Provide precise and accurate information, in-person and via phone/email, during the administration of visitor policy, site access control, and communication.
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via reception desk and issuing visitor badges
  • Order and maintain office supplies
  • Update and maintain conference room calendars
  • Monitors, verifies, and directs all inbound traffic (freight, vendor, visitors, etc.) via gated access control and gate intercom system
  • Receive, acquire, index, and post all invoices for multiple sites to include scanning into enterprise and/or document retention software with data entry.

Education

  • High School Diploma or GED from accredited college or university. Associates Degree preferred. Minimum of 5-10 years related experience

Computer Skills

  • Basic word-processing skills; MS Word, Excel
