Job Title RECORDS RETENTION CLERK - CLERICAL
Reports To Records Retention Manager
PURPOSE
To provide personal member service to our members and employees through clerical functions in accordance with policies and procedures established by the credit union. These responsibilities shall be discharged in an accurate and timely manner to assure that the needs of the members and employees are served, the objectives of the credit union are met, and good member/employee relations are maintained.
FUNCTIONS
- Responsible for member marketing of the credit union and a knowledge of all services offered to a degree that will enable answering questions, or referring members for a specific service.
- Responsible for the verification of all loan packet contents before going to imaging.
- Responsible for imaging and completing process of Account Cards.
- Responsible for reviewing New Share Activity report and keeping a listing of all missing Account cards to forward to Office Managers on a monthly basis.
- Responsible for the running the Closed Account report and logging the closed date in imaging and forwarding listing for cards to be pulled to Courier.
- Responsible for imaging and indexing all VISA and ATM applications.
- Assist with the reviewing and logging MVFCU Security cameras.
- Responsible for all Member Research to include subpoenas and other legal items sent for research including the verification and mailing of these items.
- Assist with the prepping, logging and imaging all daily work received from the Community Offices.
- Responsible for maintaining loan files including but not limited to filing all documents and maintaining loan files.
- Assist with the logging and filing of all Check Deposits received from the Community Offices.
- Responsible for the daily printing and mailing of the Change of Address letters and the Remote Access Letters.
- Responsible for the printing of the previous days reports for deletion.
- Responsible for maintaining a positive and courteous attitude when assisting members and co- workers.
- Responsible for the storage and logging of Credit Union documents (electronic and paper) and records destruction logs.
- Responsible for prepping imaged teller work for storage.
- Responsible for the prepping and cleaning of imaged Daily Teller Work for storage.
- Assist with supply requisition and inventory control, including assisting employees and vendors in a timely and professional and courteous manner. Maintain familiarity with credit union policies and procedures, as well as state and federal laws relating to responsibilities.

- Assist the Records Retention Manager with all departmental functions as needed in absence of incumbents.
- Perform other duties as requested by the Records Retention Manager.
PREREQUISITES FOR THIS POSITION
- Minimum Education: High school graduate or equivalent. Technical skills must include prior training or performance on a keyboard, computer and 10-key adding machine at a level that will require limited retraining.
- Minimum Experience: One year experience in general office record keeping with public contact and problem solving. Prior experience with MVFCU may be considered in lieu of a portion of the above experience. With a limited knowledge base of MVFCU’s Member Service and Teller Functions. Have a valid Alaska drivers license with a clean driving record is required.
- Personal Characteristics and Skills: Must be of the highest integrity and with personal habits above reproach. Must be a mature person with sound judgment, and practice effectively with people of varying levels of education and experience, and be able to communicate both written and orally, with same. Must have a high degree of self-motivation, accuracy and organizational skills. Must be able to take direction and seek counsel of supervisor as necessary. Occasional lifting of up to 50 pounds. Occasional bending, squatting or kneeling to reach supplies on different levels. Continuous use of hands in repetitive tasks such as simple grasping, twisting/turning of wrist; finger dexterity to perform various duties such as typing, entering documents into scanner, and data into computer system. Continuous clarity of vision of 20 inches or less for normal processing of transactions and documents. Must have the ability to practice confidentiality and work well interacting with the Credit Union’s internal members. Technical skills must include prior training or performance of operating a computer terminal and various general office equipment.
