Position Title: Regional Account Coordinator

BASIC FUNCTION
The Regional Account Coordinator has the primary responsibility for assisting and managing Baker showrooms’ accounts throughout the lifecycle of orders. Partnering with the Operations Team and each Showroom Sales Team, the Regional Account Coordinator needs to ensure the smooth running and timely resolution of all issues pertaining to operations, communications, customer service, and systems-based functions within each Baker Showroom location. Responsibilities include but are not limited to below criteria:

SPECIFIC RESPONSIBILITIES
Customer Account ManagementSupport Showroom Managers in maintaining Oracle Customer Master Module.
Edit and changes information on customer accounts.
Reassign accounts when needed.
Order ManagementAuditing, booking, editing, and cancelling orders .
COM issue resolution.
Understand Supply Chain and WIP.
Actively understand each showroom’s order status via Open Orders Report (OOR) and BOL Report; act as a liaison between the plants, Showroom, and the client when there is a change of status to an order.
Communicate with corporate/factory to ensure orders continue to move through the system.
Shipment ManagementBe on track with Baker Truck and Back Haul schedules; act as the point of contact to local receivers.
Manage BOL’S from trucks and work directly with the Local Receiver.
Create delivery tickets for products going to clients from receiver.
Schedule floor samples delivery from receiver to our showroom.
Assist with receiver audit and receiver agreement maintenance.
Accounts Receivable ManagementChecking for credit check failure holds and payment assurance holds.
Utilize the OOR and BOL reports to signal for final payment collections.
Invoice clients on balances due and ensure timely payments are received for all shipped orders; ensure billing and payments are handled graciously.
Customer Service: manage service/product issues from start to finish
Strong Communication skills and the ability to interface with high end Trade Clients. Partnering with Showroom Manager in difficult situations, diffuse difficult situations and strengthen relationships with clients which, in turn, supports our Sales Associates.
Manage all aspects of claims, including submitting the Claims Form, finding solutions to claims, getting quotes and arranging for local repairs, submitting VCB invoices for payments; help influence the decision-making process on repairs/replacements.
Maintain relationships with repair vendors and searches and recruits new repair vendors as needed. Follow up with and ensure timeliness of repairs. Communicate updates and follow up with clients. Schedule return of product to client/showroom/factory.
Enter/book replacement orders; utilize OOR to track status for replacement orders.
Help manage Service/Parts orders.
Manage 3rd party vendor chargebacks; partner with Merchandising to contact vendors for parts availability and pricing.
Inventory Management: supportive roleWork with Operations team on any inventory move and adjustment (shortages and overages).
Create new tag sets for launches; assist with tagging showrooms.
Help manage inventory at Local Receiver.
New Associate Training: supportive role
- Provide training on organizational structure, Oracle, reports, and Operations related functions to new hire.
Future AdvancementParticipate in any future initiatives on organizational and system enhancements as we continue finetuning Oracle.

EDUCATION AND EXPERIENCE REQUIREMENTS
Bachelor’s Degree from a four-year college or university preferred, plus one to three years of related experience in Operations or Customer Service field, or an equivalent combination of education and experience.
Job Type: Full-time
Pay: $46,000.00 - $55,000.00 per year
