The Unit Clerk assumes clerical responsibility to coordinate activities at the unit nurses' station. Performs receptionist, telephone and clerical duties to support nursing staff in the delivery of care and services to unit residents. Maintains medical records for each resident that are complete, readily accessible and systematically organized. Interacts with residents, staff, consultants, visitors and others in a manner that facilitates communication and presents appropriate image of the facility.

Responsibilities:

  • Updating and storing business files to ensure they are accurate and accessible for other employees
  • Typing reports, letters and other business documents
  • Sorting mail and responding to it or distributing it to appropriate employees
  • Answering telephone calls and emails and redirecting them to other employees when appropriate
  • Issuing invoices and following up outstanding payments
  • Taking dictations and minutes during meetings
  • Monitoring office supplies and reporting when stock levels are low to office manager
  • Notifies departments, such as dietary and finance, orally and in writing when there is a change in unit census or resident status. Forwards written notices and records promptly.
  • Completes necessary transfer paperwork and ensures that all required records accompany residents who are transferred, discharged or scheduled for outside appointments. Inspects closed records for completeness, notifies Unit Charge Nurse of missing information and forwards records to Medical Records Department upon completion.
  • Prepares and assembles standard chart forms for new admissions. Maintains supply of new charts and forms at nurses' station.
  • Maintains unit inventory of equipment, supplies, and forms at levels sufficient to meet needs of unit. Notifies appropriate facility staff member to reorder items before supplies are exhausted.
  • Assists Unit Manager to prepare for long term care survey. Attends survey training and interacts with state surveyors as indicated by supervisor.

Education/Training/Work Experience:

Education: High School Diploma or equivalent.

Certificate/Licenses: None.

Work Experience: Previous CNA experience or clerical experience in institutional health care setting preferred.

Freedom from illegal use of drugs, and freedom from use and effects of use of drugs and alcohol in the workplace.

Persons who have been found guilty by a court of law of abusing, neglecting or mistreating individuals in a health care related setting are ineligible for employment in this position.
