Department: Finance

Title: Accounts Payable

GENERAL PURPOSE

Following Township policies to match, batch, and code approved invoices before payments are made.

SUPERVISION RECEIVED

Works under the supervision of the Finance Director.

SUPERVISION EXERCISED

None.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under direction, works from a thorough knowledge of the purchasing operational policies, procedures, and practices. These duties typically include, but are not limited to:

A. Check invoices for proper signatures and approvals seeking correction from Manager/Director where necessary. AP processes approximately 100-200 invoices per week.

B. Match receipts to receiving documents code invoices and put into batch

C. Complete receiving against all Purchase Orders, if applicable

D. Enter invoices into MUNIS for payment

E. Affix scan/bar codes to every invoice processed

F. scan all invoices via TCM into MUNIS

G. Create scan file for the Board of Commissioners and save to Board drive

H. Generate checks and make copies for paper record

I. Attach check copies to related invoices for paper record

J. Segregate check for special handling as/if requested by Department

K. Forward checks to Finance Director to collect endorsements

L. Post all cash disbursement journals after checks are generated

M. Create, upload, and submit positive pay file to the bank

N. Prepare cash transfer sheets from various funds and submit them to Director of Finance

O. Handle all correspondence to/from Vendors or internal departments for issues, discrepancies, and payment status

P. Checking vendor statements for payment application accuracy and any unpaid invoices

Q. Maintain Vendor database to ensure all information we have is accurate

R. Collecting updated W9’s from Township Vendors, when needed and to set up new Vendors

S. Create and mail 1099 vendor statements annually

T. Annual IRS and State 1099 Vendor reporting

U. Offering office support to various other Finance Department functions

V. All other duties as assigned by immediate supervisor

MINIMUM QUALIFICATIONS

Education and Experience:

(A) Associate degree or higher with casework in Business Administration or related field; OR

(B) Two (2) years of accounts payable experience or a related field; OR

(C) Equivalent combination of related education and experience.

NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES:

(A) Knowledge of business English, spelling, and grammar

(B) Ability to maintain confidentiality in all work-related situations

(C) Ability to operate office machines and equipment

(D) Ability to write legibly

(E) Ability to understand and follow oral or written instructions as they relate to Township operations, and purchasing policies and procedures

(F) Ability to provide clear and concise oral and written instructions

(G) Ability to deal courteously and tactfully with the public and establish and maintain a healthy working relationship with vendors, citizens, and other employees

(H) Demonstrate organizational skills

(I) Ability to handle stressful situations while multitasking and balancing several assignments

(J) Proficient computer skills, including experience with Microsoft Excel, Word, Outlook, MUNIS (preferred)

(K) Ability to understand basic accounting principles and budget process

(L) Ability to enter invoices quickly and accurately

TOOLS AND EQUIPMENT USED

Requires intensive daily use of computer, calculator, copier, printer, telephone, as well as other office equipment as needed.

Job Type: Full-time

Pay: $40,000.00 - $41,000.00 per year
