The Department of Rehabilitation Medicine has an outstanding opportunity for a part-time 75% FTE Administrative Assistant 2.

This position is proposed to work 75% FTE, 30 hours - three 8-hour days onsite and two 3-hour days remotely per week.

The person in this position is responsible for supporting the Division of Physical Therapy and should be a detail-oriented, well-organized, self-starter who can work independently and as part of a team. This position works closely with the division leadership, faculty and staff in carrying out program activities.

RESPONSIBILITIES:

Instructional & Faculty Support
  • Collect/manage/enter curriculum, program and clinical education data using Excel or databases

  • Assist faculty in classrooms when they have in-person exams

  • Assist course faulty in Zoom meetings to monitor breakout rooms or chat

  • Coordinate weekly laundry services with the contracted university vendor

  • Manage program and faculty Canvas pages and make sure that up-to-date information is posted

  • Request a desk copy or purchase a textbook for faculty and TAs

  • Organize classrooms and storage & linen closets

  • Coordinate and manage quarterly lab/course supply and materials and conduct inventory


  • Division/department Support
  • Assist in creating surveys, collecting data for program evaluation and accreditation purposes

  • Take meeting minutes at faculty, advisory or cohort meetings

  • Manage director’s calendar and schedule meetings

  • Submit a request to purchase program and lab supplies

  • Provide the university and program policy and other information to students, staff and faculty

  • Process speaker honorarium

  • Process patient bank cards payments

  • Make parking arrangement for visitors and guest speakers

  • Assist in event planning and on-site logistics

  • Work with the Continuum College and the department to update web contents

  • Arrange quarterly/yearly surplus and classroom cleaning

  • Process FEDEX and campus mailing

  • Sort program mails

  • Be a point of contact to troubleshoot issues related to copy machine, meeting rooms or classroom AV system on the HSB 9th floor

  • Manage the division social media platforms

  • Perform other duties as assigned


  • Minimum Qualifications:
  • Requires High School/ GED AND two years of office or administrative support experience OR an equivalent combination of education and/or experience.


  • Preferred Qualifications:
  • Bachelor’s Degree

  • Four years of office or administrative support experience OR equivalent education/experience.

  • Familiar with UW system - SDB, MyGrad, Ariba, PurchasePath and Canvas

  • Familiar with Zoom

  • Work experience in higher education

  • Proficient in Microsoft office suites including office 365 and Adobe Acrobat

  • Experience working with database and data management

  • Excellent verbal and written communication skills

  • Demonstrated ability to effectively prioritize tasks and projects

  • Excellent organizational, planning and problem-solving skills

  • Demonstrates independence and initiative

  • Experience in survey designs, data collection and reporting
