Job Summary

We are looking for a responsible, detail oriented, Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include, but are not limited to, providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools including MS Excel, Word, Outlook, and basic office equipment. The Administrative Assistant role will ensure the efficient and smooth day-to-day operation of our office.

Responsibilities and Duties

  • Greeting any guests who many come into the office & directing them to the appropriate contact
  • Answer & screen all incoming calls and oversee the proper flow of communication/information within the facility
  • Screen and route incoming mail & small packages
  • Printing of production & office materials including small & large labels, as well as production tracking logs & forklift maintenance logs
  • Prepare any FedEx shipments (small parcel packages & envelope mailings) online & schedule pickup or drop off at FedEx box locations when necessary
  • Maintain oversight of vendor & supplier deliveries (e.g. bottled water delivery, vending machine restock, quarterly exterminator visits, as well as raw materials necessary for our daily production needs, etc)
  • General data entry related to invoices, production, shipping & maintenance
  • Scanning in documents to maintain a paperless filing system for all office documents (e.g. invoices, bills of lading, and other daily tracking sheets)
  • Manage break room and office supplies inventory, organization & cleanliness
  • Perform any additional duties as required by other office staff

Qualifications and Skills

  • High school diploma or equivalent
  • Extreme attention to detail
  • Demonstrated typing, filing skills
  • Microsoft Office Excel & Word skills required
  • Proficient use of Microsoft Outlook
  • Experience with Sage accounting software or comparable preferred, but not required
  • Excellent communication skills
  • Organized and able to multi-task
  • Reliable transportation to and from work
