Job description
The Administrative Assistant, Alumni Relations is responsible for supporting campus and signature events for alumni. Those alumni events include but are not limited to Homecoming, Reunion, presidential/administrator, athletic, and virtual events. This position also assists with answering telephones, welcoming office visitors, and providing excellent customer service in a multitude of ways.
RESPONSIBILITIES:
Customer Service and Relationship Management
- Provide excellent customer service to all university constituents.
- Coordinate with event vendors, both on and off campus.
Event Support
- Utilize ArachNet (Advancement’s database) to create events, track RSVPs, make nametags, and pull information.
- Assist with printing, mailing, and emailing invitations and informational materials.
- Aid in marketing of events through various communication outlets including web, text, and social media channels.
- Order and keep inventory of event supplies and assemble and distribute materials as needed.
- Manage registration and check-in process for Homecoming Weekend, Reunion Weekend, and other campus & signature events.
- Aid in managing the events budget.
- Other duties as assigned.
QUALIFICATIONS:
- Excellent customer service skills
- Strong written and oral communication skills
- Strong communication and interpersonal skills with the ability to provide superior customer service, and to work effectively with diverse groups of people internally and externally.
- Strong organizational skills and attention to detail, in conjunction with comfort level of working in fast-paced environment while handling multiple projects
- Understanding and appreciation for working with all university constituents, including alumni and volunteers
- Proficient in use of Microsoft office software, including Excel and Word, as well as constituent databases.
- Keen understanding of the benefits of strategic use of web-based outreach and experience in working with content management systems.
- Attention to detail, organized, thorough, and consistent with follow through.
- Comfortable working with social media platforms including Facebook, Instagram, and Twitter.
EDUCATION AND EXPERIENCE
- High school diploma required and bachelor’s degree preferred.
- Minimum of three years of administrative support experience, preferably in higher education.
WORK HOURS:
- Full-time, non-exempt position.
- Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
- Willingness to work evenings and weekends, including Reunion Weekend and Homecoming Weekend
SALARY STRUCTURE:
- Pay Grade 3 (Hiring Range $16.37 to $19.24 per hour)
