TDX Power, LLC is recruiting for the position of Administrative Assistant. This is a full-time position located in Anchorage, AK. This position reports to the Assistant General Manager.


JOB SUMMARY:

This position serves as the Administrative Assistant to and supports TDX Power’s management team in meeting their day-today administrative needs, assisting in reporting requirements, meeting schedules and travel needs. Additional duties may include assignments from the President and / or the executive management team of routine and recurring nature, including typing, filing, managing calendars, posting corporate memos and directives, preparation of standard forms, and may include accessing the accounting Viewpoint system to gather data entry to assist with their reporting duties.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs customary duties as using office machines to include computers, iPads, dictation, copiers, fax, scanning of document and other standard equipment.
  • Responds to telephone inquiries from the public and other TDX departments / companies when information requested is specifically provided and known.
  • From handwritten drafts or verbal instructions, data processes or otherwise, prepares a variety of letters, memos, forms, and reports.
  • Assist with the TDX Shareholder newsletter and website, preparing outline and content of current news events.
  • Performs file maintenance, both hard copy and electronic; searches files and records for readily identifiable information, as directed including scanning and uploading documents into the electronic content management system.
  • Manages and prioritizes tasks and provides status updates as necessary.
  • Ensures distribution of the mail and facsimiles, manages the replenishment of office supplies for Executive office, manages the Executive reception area and/or performs receptionist and messenger duties when necessary.
  • May assist Accounting staff with basic data entry and reporting duties as assigned.
  • Make travel and hotel arrangements for management and / or leadership teams.
  • Other duties as assigned.

COMPETENCIES:

  • Excellent verbal and written communication skills, type at 60 words a minute accurately. Excellent phone etiquette.
  • Computer proficiency in Microsoft Windows OS and Apple iOS, to include Microsoft Office Suite software (Outlook, Word, Excel, Publisher, PowerPoint and Access)
  • Ability to complete basic access and use of accounting and network software.
  • Ability to work with numbers accurately, understand verbal instructions and a willingness to learn and acquire new skills.
  • Proficiency in the use office machines such as computer, dictation, fax machine, calculator, photocopier, scanner and other standard office equipment.
  • Excellent time management and organizational skills.

MINIMUM REQUIREMENTS:

  • Minimum 2 years’ experience as administrative assistant and/or similar position; front desk office management, training or college classes may be substituted on year for year bases for experience. Some supervisor experience is preferred but not required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, data entry, managing files, calendars and records, designing forms, and understanding of basic accounting and other office procedures and terminology.
  • Ability to lift 50 pounds
  • Ability to complete multiple tasks simultaneously.
