The position of Admissions Administrator, reporting to the Admissions Manager, has responsibility for providing a professional and comprehensive administrative service associated with the admission and recruitment of students within the Office. This may include the recruitment of students in other areas of the department.
Responsibilities
Specific responsibilities of the Admissions Administrator will include:
  • Responsible for the administration processes associated with the recruitment and admission of students;
  • Provision of Educational Guidance and Advice to prospective students;
  • Ensuring all prospective leads are inputted into the College's CRM system and dealt with efficiently and in a timely manner.
  • Daily processing of all online leads from the website and manual leads/enquiries from walk-ins, phone calls or emails;
  • Daily processing of online applications from the DBS website and in some cases, manual applications and applications via the CAO;
  • Ensuring all lead and application details are coded correctly in the student information system such as agent names, visa status and source details;
  • Ensuring all applications and student files are maintained as per the department's internal processes;
  • Ensuring compliance checks are carried out on all leads and applications;
  • Preparing student files with all application documents for review by the QA Officer;
  • Ensuring that the Quality Assurance of DBS is protected and maintained at all times;
  • Ensuring the student information system is up-to-date and live at all times;
  • Liaising with all applicants regarding the status of their application on a daily/weekly basis;
  • Daily & weekly follow up phone calls to applications at all stages and ensuring they are completed as required;
  • Preparing and sending offer letters to eligible applicants;
  • Answer queries/providing information on the telephone and following up phone calls by sending out the relevant information/literature;
  • Attending open events/exhibitions/fairs/schools representing DBS as part of the student recruitment process as required. Some of these may be in the evening or weekends;
  • Additional administrative and marketing tasks as delegated by management.
Working Relationships
The management of successful working relationships will be an integral aspect of the role and includes:
  • Regular interaction with the rest of the team in the Admissions Office.
  • Regular interaction with the Academic Operations team and the Accounts Department.
Reporting Arrangement
The Admissions Administrator will report directly to the Admissions Manager.
Required
  • Excellent organisational and administrative skills.
  • Proven ability to communicate information to the public in an effective and professional manner.
  • Excellent Interpersonal and written communication skills.
  • Good computer & keyboard skills, preferably including word processing, databases, spread-sheets.
  • Ability to work effectively, accurately and under pressure in a fast paced environment.
  • Ability to work with large volumes efficiently.
  • Ability to prioritise and to meet deadlines.
  • Ability to work as part of a team to achieve goals and objectives.
  • Flexible approach to work.
