TITLE:
Twelve (12) Month Assistant Office Manager
POSITION SUMMARY:
To assist in day-to-day operations, planning, and organization, maintaining efficient systems and processes, and interacting with parents and the community, in order to support the high quality and efficient running of the department. Dedicated to ensuring that families, returning and new, have the information they need for a successful start of school.

CERTIFICATES, LICENSES, AND REGISTRATIONS:
An Associate’s or Bachelor's Degree from an accredited college or university is preferred.
TRAINING AND EXPERIENCE:
Candidates who are fluent in Spanish and/or Portuguese are preferred.

Demonstrated knowledge of computer use and appropriate applications, including the Google platform, MS Office, and databases. Knowledge of Excel, Microsoft Office, and X2 preferred. Ability to work with diverse populations. Exceptional accuracy and attention to detail. Excellent organizational skills and demonstrated ability to carry out procedures involving multiple components and people. Demonstrated ability to communicate effectively, verbally and in writing. Strong ability to maintain confidential information. Flexible, timely, able to multitask, and comfortable working in a fast-paced environment. Diplomacy, and a warm customer service approach. ESSENTIAL DUTIES AND RESPONSIBILITIES:
The essential functions or duties listed below are intended only as an illustration of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if work is similar, related, or a logical assignment to the position.
- Preparation and distribution of agendas and minutes (including research, preparation, and production of agendas, and supportive material) for all meetings.
- Track and complete all follow-up assignments from any meetings attended by the Assistant Superintendent for PreK-12 or his/her designee.
- Provide reports as may be required by the Assistant Superintendent for PreK-12.
- Support the FPS Professional Development Committee by helping with communication and organization of district professional development. Support the office in the preparation, oversight and tracking of grants.
- Prepare budget reports, billheads, and/or purchase orders as required.
- Prepare charts, graphs, and supportive material for any presentation including but not limited to budget matters and School Committee meetings.
- Prepare and assist in the inventory and purchasing of office materials and curriculum resources.
- Sort and distribute US and inter-District mail
- Prepare, process, and mail all Office of Teaching and Learning documents to parents and internal personnel
- Copy and prepare Office of Teaching and Learning files for distribution as needed
- Follow timelines and legal procedures
- Assist with homeschool education correspondence, record-keeping, and reporting.
- Provide administrative support to the Gifted and Talented program, including but not limited to correspondence, record-keeping, materials ordering, preparing meeting minutes, and reporting.
- Provide administrative support to PreK Expansion efforts, including but not limited to correspondence, record-keeping, materials ordering, preparing meeting minutes, and reporting.
- Prepare any correspondences as directed by the Assistant Superintendent for PreK-12 and/or their Assistant Directors or Coordinators
- Input invoices into MUNIS
- Assist with the creation of reports and development of timelines
- Regular communication with Special Education, Health and Wellness, and Multilingual Education, Fine and Performing Arts, and Teaching and Learning department staff, including both email communications and telephone
- Manage calendars for Assistant Superintendent for PreK-12; coordinate and schedule meetings as requested
- Assisting the Office of Teaching and Learning by answering emails and phone calls and helping to answer questions for families.

Assume additional responsibilities as directed by the Assistant Superintendent for PreK-12.
PHYSICAL WORKING CONDITIONS:

Employees work in an office with moderate noise levels (such as computers and printers) and controlled temperature conditions. The position requires frequent sitting, standing, walking, and reaching with hands and arms occasionally. Ability to talk and to hear continuously. Ability to lift up to 20 pounds periodically. Finger dexterity is required continuously for the normal work shift, such as for typing, filing, dialing the phone, etc. Some travel between schools may be necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required.
REPORTS TO:
Assistant Superintendent for PreK-12 and/or their designee.
The performance of this job will be evaluated as per the Framingham Teachers Association Secretaries (Unit S) Contract.
SUPERVISORY RESPONSIBILITIES:
Not Applicable.
FAIR LABOR STANDARDS ACT (FLSA) CLASSIFICATION:
This position is classified as non-exempt (Hourly).
TERMS OF EMPLOYMENT:
Covered under Framingham Secretarial Association (Unit S) Contract. This is a twelve-month position. Please note that the District reserves the right to transfer all personnel among buildings on an as-needed basis to serve the best interests of all students as long as such transfer is in compliance with the Framingham Teachers Association Secretaries (Unit S) Contract.
