We are seeking an Associate Director of Alumni Relations & Doctoral Program Manager who will serve as the key administrative support for all aspects of alumni relations in the Department of Health Policy and Management through maintaining connection with and creating engagement opportunities involving alumni, students, faculty and friends. The position provides leadership, strategic management, and overall coordination and support to maintain strong relationships with departmental alumni and to support current students in building relationships with alumni for practicum/internship/post-graduation employment opportunities.This position sits in the Department Chairs office and operates in partnership with the HPM academic office. Duties will be split so 65% of the role is dedicated to alumni relations and 35% is dedicated to academic support. This position will also operate as a member of the Schools development and alumni relations team and will work closely to promote a culture of collaboration, creative innovation, and rewarding outcomes.
Specific Duties & Responsibilities
Strategic Support for Department Alumni Engagement
Partner with the department chair to implement to chairs vision for alumni engagement.
Provide strategic management and administrative support of all alumni engagement.
Establish and manage a new HPM Alumni Ambassadors program
Partner with the HPM Associate Chair for Faculty to organize alumni panels for current students.
Partner with department academic programs to development, promote, manage, and execute departmental alumni events throughout the year. These events could include but are not limited to meet and greets; evening receptions; graduation reception; network events at APHA and AcademyHealth; virtual coffee chat and programming; events at 555 Pennsylvania in Washington, D.C.
Serve as the main point of contact for select department special events that can help to advance the departments alumni relation goals.
Plan & Execute Alumni Events
Plan and direct a timeline for events and ensure all details are carried out in a timely manner.
Oversee event budgets including monitoring of expenditures.
Negotiate, review and administer contracts with vendors and conduct a thorough selection process.
Staff event and manage registration table for greeting, guest check-in, name tag distribution.
Troubleshoot during event to ensure the event runs according to schedule
Alumni Communication
Partner with department and schools communications teams to maintain department alumni website, and develop and send period information to alumni
Maintain department alumni data, including addresses, current positions, job positions
Identify alumni to feature on departmental website and other departmental materials
Plan and manage annual alumni Town Halls
Collaborate with the BSPH Office of External Affairs Alumni Relations Team
As a member of the BSPH Alumni Relations team, understand and contribute ideas to the School-wide strategies, identifying and promoting programs/opportunities with HPM department as appropriate
Work with School alumni affairs and External Affairs on school-wide alumni activities (Alumni Day, APHA Reception)
Work closely with the BSPH Office of External Affairs to promote HPM students and alumni for awards and marketing/communication efforts
Ensure regular collaboration with the BSPH Gift Officer team so that they are aware and using alumni relations events as an effective major gift prospect engagement tool.
Collaborate with the BSPH Office of Alumni Relations to proactively seek updated contact information and promptly update in database
Attend mandatory development and alumni relations meetings and training.
Complete initial alumni database systems and procedures training and stay abreast of enhancements to that system.
HPM Academic Office
Support doctoral students with exam set-up by advising them on their committee selections, providing instructions on when and how to submit appropriate information, and offering guidance throughout the process, including:
Meet with students to discuss the various requirements that need to be completed prior to completing their orals.
Advise students on assembling an oral exam committee
Advise students on choosing their thesis advisory committee
Advise students on and assisting with scheduling exams (including choosing the right time to complete their final defense and timing implications)
reserve conference rooms and/or schedule Zoom
schedule Audio Visual needs and assistance
Assist students with completing their school-wide and final defense forms.
Collect exam forms
evaluate transcripts to ensure exam eligibility
evaluate the committee to ensure that its a legal exam committee
contact faculty to ensure that proper consent was received and obtain required signatures
Submit forms to Bloomberg Schools registrars
Send email reminders to the committee along with a calendar invite
Communicate with current students and alumni regarding professional opportunities, including:
Serve as a liaison between with other universities and corporations and our students by receiving and distributing job announcements, conference announcements and other public health opportunities.
Manage the departmental listserv for our current students and alumni.
Provide support for the HPM Student Coordinating Committee (SCC), specifically:
Manage the Student Coordinating Committee yearly activities and budget expenditures.
Work closely with the Co-Chairs of the SCC to assist with the yearly election of board members
Distribute email correspondence and surveys to the current students on behalf of SCC.
Provide guidance on the student event planning, meetings with the Schools Student Assembly, and scheduling annual meetings with the department chair.

Must be organized and demonstrate the ability to work independently, multi-task, function effectively in a fast-paced environment without getting flustered, show great attention to detail and follow through to completion within time constraints.
Occasional evening work and some travel. Must have own transportation for evening and events.
Ability to exercise administrative judgment and assumes responsibility for decisions, consequences and results. Understands impact of such decisions on people and the efficiency and quality of the overall operation of the office
Proficiency in computer applications such as MS Office (Access, Excel, Word, PowerPoint, Publisher), Web content management (Site Executive, SharePoint). Knowledge of Johns Hopkins data systems (SIS, ALDIN)
