This position is posted as Athletics Business Operations Assistant, which is a working title. The NAU system title for this position is Administrative Services Assistant, Senior.
This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.
This position serves under the general supervision of the Associate AD for Fiscal Operations. Assist in the day-to-day operations of the Athletics Business Office. Performs a variety of advanced office/administrative support duties related to the Athletics Department, which require a thorough knowledge of functions within the department. Uses specialized functional knowledge to analyze and respond to administrative matters within established limits to ensure that the department’s needs are being met and that University procedures and policies are being followed. Adheres to NCAA, Big Sky, and WAC rules and regulations, as well as the policies and procedures of the department, the University, and the Arizona Board of Regents.
Department Liaison with Campus Financial Partners (Purchasing, Travel Processing, etc.) - 40%
- Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational problems.
- Serve as the primary liaison to the Human Resources and Campus Finance Teams by overseeing the relationship with the respective teams, entering tickets, and monitoring the progress of transactions.
- Act as point person for proper accounting and coding of invoiced expenses/purchasing card transactions.
- Process deposits for local funds and foundation funds on a regular basis.
Administrative Duties - 30%
- Serve as department’s primary resource on travel policy and Its application to traveler arrangements.
- Develop a process with athletics department staff to compile receipts and appropriate documentation and track the timeliness of employee reimbursements.
- Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
- Oversee NAU Athletics’ courtesy car agreements to ensure timely and accurate completion of paperwork including but not limited to: agreements, vehicle information, monthly mileage reports, and reporting to the Comptroller’s office.
Leadership and Training - 15%
- Leads and trains lower graded staff and/or student employees, as required.
Fiscal Operations - 10%
- Track and reconcile athletic ticket sales and ensure that accounts receivables for various athletic revenue categories are collected promptly.
- Organize and maintain department files for travel, expense reimbursement, accounts payable and accounts receivable.
- Compile data and information in support of Athletics Budgeting, Benchmarking, and Planning.
- Coordinate Athletic summer camp fiscal operations and registration process, develop camp policies and procedures and prepare up-to-date camp income statements.
Other - 5%
- Other duties as assigned.
- Requires a high school degree; may require an Associate’s degree.
- 1-3 years of relevant experience required.
- Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.
- Knowledge of standard office policies and procedures.
- Knowledge of supplies, equipment, and/or services ordering and inventory control.
- Develops and maintains good working relationships.
- Proficient in English composition, grammar, spelling and punctuation, and basic math.

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary range begins at $37,584. Annual salary commensurate with candidate's qualifications and related experience.
This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.
This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
