JOB ANNOUNCEMENT
JOB TITLE: Chief Administrative Officer
REPORTS TO: Chief Executive Officer (CEO)
FLSA STATUS: Full Time/Exempt
PAY RANGE: $85,000-$95,000
Primary Responsibilities:
The Chief Administrative Officer will oversee the day-to-day operations of the Boys & Girls Club of Whittier and the organization’s overall performance. This position is responsible for the performance of various departments with emphasis on compliance, culture building, employment related risk management and development and implementation of our retention, leadership development and succession strategies.
Key Roles / Responsibilities:
- Working closely with departments and teams within the organization to ensure operational efficiencies and improvements
- Working with management to devise strategies and policies to meet company goals
- Managing and supervising the day-to-day operations of various departments, such as finance, human resources, and development
- Managing budgets, hiring, contracting and business negotiations
- Analyzing audit reports and formulating improvements to departmental workings
- Coordinating inter-departmental activities and delegating responsibilities to subordinates
- Compiling performance reports and reporting to the CEO and board of directors
- Ensuring all IRS laws, government regulations, and BGCA membership requirements rules are met and in compliance.
- Setting, monitoring, and managing KPIs for departments and management staff
- Formulating strategic, operational, and budgetary plans
- Working closely with and training new managers in administrative roles
- Mentoring and coaching administrative staff within the organization
- Performing manager evaluations
- Working closely with CEO and board of directors
- Staying up to date on the latest changes to government rules and regulations related to administrative tasks, accounting, and financial reporting
- Assessing company policies
- Onboarding or training new managers
- Recommending improvements for the company or office
- Analyzing audit reports
- Verifying that all employees are following IRS laws, federal or state government regulations
- Attend regular meetings with senior management and board of directors
- Oversees day-to-day administrative activities and ensures smooth organizational operations
- Fosters a healthy and inclusive work environment
- Collaborates with senior management and department heads
- Fosters lasting relationships with stakeholders and business partners
- Ensures overall compliance with applicable laws and regulations
- Reviews and recommends process improvements
Chief Administrative Officer Requirements:
- Bachelor’s degree in Business Administration or related field; MBA a plus
- Ability to effectively communicate complex business and financial information
- Understanding of business functions such as finance, accounting and marketing
- Ability to engage in fiscal planning, reporting and budget development
- Knowledge of laws, rules and regulations that govern non-profit 501c3
- Experience in administrative operations like communication management, report analysis and financial planning
- Proficiency in accounting software, QuickBooks preferred
- Proficiency in business management software like Microsoft Dynamics
- Proficiency in word processors and data-management software, such as Microsoft Word, Microsoft Excel and Microsoft PowerPoint, Office 365
- Minimum 5 years of extensive administrative and senior leadership experience
- In-depth knowledge of management principles and supervisory practices
- Deep understanding of advancements in public administration or organizational development
- Outstanding written and verbal communication skills
- Strong interpersonal, organizational, and decision-making skills
- Solid work experience in a managerial position
- Strong leadership and teamwork abilities.
- Experience in the following areas: Strategic planning, Legal compliance and Project management
- Risk management/risk control
- Knowledge of Generally Accepted Accounting Principles (GAAP) and regulations, and internal audit procedures within the company
- Developed organizational skills
- Understanding of project management
- Thorough critical thinking skills
- Successful problem-solving tactics
- Clean driving record
- Proof of recent negative TB test
- Background and Live Scan Clearance / Drug test (to be provided)
Relationships
Internal: Maintains close, daily contact with CEO to review/provide information, strategize, discuss issues, and advise/counsel. Maintains regular contact with Human Resources, Sr. Directors, and Staff.
External: Maintain and develop relationships with schools, vendors and organizations that contribute to BGCW daily operations.
Environment and Working Conditions
Tasks are regularly performed with moderate exposure to environmental conditions such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, and temperature and noise extremes.
Physical and Mental Requirements
Tasks involve the ability to exert very moderate physical effort in light work, typically involving some combination of sitting for long periods of time, stooping, kneeling, crouching and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight.
