DESCRIPTION

The Clinical Care Coordinator for Cancer Services is the primary point of contact for new patient referrals. This position is critical to new patient access for oncology patients. The coordinator handles all incoming new patient referrals via Epic, fax, phone, secure e-mail, etc., and ensures operations run smoothly on clinic days. Welcomes patients to our center, providing the proper disposition of a clinician, and acquires internal and external records within 24 hours to schedule the patient within our 7-day goal.

Directly interact/communicate with patients, families, faculty, and staff, via telecommunications and in person, relating to scheduling consults and triaging complex problems for a multidisciplinary team, which includes physicians, mid-level practitioners, nurses, social workers, and pharmacists. Answer and triage incoming communications (i.e., phone calls, emails, Epic My Chart messages, etc.). Uses the Epic medical records system to schedule and register patients for appointments. Communicates with a variety of private and government agencies.

The Clinical Care Coordinator applies knowledge of various insurance products (i.e., HMO, PPO, POS) to verify authorizations and ensure payment/reimbursement. Provides high-level administrative support for Medical Oncology Team Physicians. Provides a variety of other administrative duties in support of patient and family psychosocial services. Prepare and distribute clinic notes to referring physicians and medical records. Transcribe faculty correspondence and prepare patient letters, other documents, memos, and e-mails as requested. Assist in developing and maintaining databases and collecting, analyzing, and entering metrics into the data system. Identify emergent or complex cases and seek clinical review as needed. Communicate with faculty, clinic staff, administrators, professional organizations, and outside agencies (i.e., insurance companies and community medical groups).

MINIMUM QUALIFICATIONS

  • A minimum of three (3) years of related experience.

  • Demonstrated experience in working in a large, complex healthcare setting.

  • Proven experience working with Behavioral Health Insurance companies and Community Medical Groups.

  • Strong ability to communicate in English both orally and in writing.

  • Proficient knowledge and advanced level skills in word processing software applications (Word, Excel, Outlook, and PowerPoint).

  • Thorough knowledge of insurance authorization processes.

  • Excellent customer service skills. Ability to interact well with care teams, and all patients and families.

PREFERRED QUALIFICATIONS

  • Prior oncology experience.
  • Experience with Epic EHR system (including Cadence).
  • Knowledge of medical/scientific terminology, Hematology/Surgical Oncology terminology, authorizations, various insurance products & third party payors.
  • Bilingual: Spanish/English.

  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $78,258 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $37.48

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
