Primary Responsibility:
The Executive Administrative position would be responsible for independently and collectively monitoring and coordinating day to day construction activities including but not be restricted to coordinate & liaise with vendors for uninterrupted construction works, review of drawings and contracts, obtaining quotes, monitoring progress of work by vendors etc. In addition, coordinate between CLIENT projects and other stake holders, monitor costs and track payments, preparing and assisting team during calls & site surveys and other tasks as may be assigned from time to time by the Supervisor
Responsibilities:
Admin Duties:
· Act as a company representative and Point of contact when corresponding with vendors and contractors regarding scheduling calls/meeting, work orders, pending projects, quotations, requests, and other items as needed.
· Negotiate with vendors to achieve best rates and prepare comparatives for approval.
· Receive bids, prepare bid analyses and recommendations to the award of contracts.
· Coordinate with legal team and vendors on contract agreements
· Coordinate with Location Admin on commissioning and decommissioning project needs/requirements
· Monitor & coordinate the overall program and construction budget.
· Prepare, maintain, track and update Construction related Cost and schedule milestones (Architect, GC etc.)
· Prepare and coordinate project reports and arrange drawing reviews with Manager.
· Develop cash-flow reports for forecasting and variances between actual and budgeted or estimated costs.
· Monitor contractors change order requests for validity and cost and make recommendations to Manager
· Review and assist with punch list and final signoffs.
· Monitor & Coordinate with Finance on vendor payments/invoices/budgeting
· Any other Admin requirement that may be required / assigned by Supervisor from time to time.
Qualifications and associated Attributes:
· Associate degree.
· 2- 5 years’ experience in Architect/GC/Realty Company in similar role.
· Should possess excellent English communication skills (written & verbal)
· Should have good computer skills: 1) Microsoft Office (especially word, excel, power point etc.) 2) Ms Project (knowledge & Experience will be preferred)
· Should have knowledge of: - (1) Construction Co-ordination (2) Purchase / Procurement processes, (3) Finance / Accounting processes /MIS etc.
· Must be a team player with good interpersonal skills and ability to work in a diverse multicultural environment.
· Should possess: - (1) Good organizational and planning skills, (2) Analytical and problem-solving skills, (3) Good and quick decision-making capability (4) Ability to read Architectural Drawings (would be preferred)
· Should be: (1) Proactive (2) Self-motivated (3) Flexible (4) Adaptive (5) Professional (6) Able to multitask, (7) Accessible on phone for any emergency requirement at the location (8) Available for work outside of regular business hours if needed (9) Willingness to travel to construction sites across US.

Salary: $44,000.00 - $56,000.00 per hour
