Summary:

Provides administrative support to the CEO and Leadership Team, the Board of Directors, and the Homage office, to ensure that business happens smoothly and successfully.

Essential Duties and Responsibilities:

  • Prepares, distributes, and files documents on behalf of the CEO, Leadership Team, and Board, including managing Docusign responses, as needed
  • Manages CEO calendar, responding to requests for meetings and creating meeting requests per CEO direction; ensures that calendar accommodates travel time, planning/focus time, and other non-meeting needs
  • Manages CEO correspondence and timekeeping per CEO direction
  • Supports the scheduling, preparation, and planning of Board meetings, including preparing and sending meeting agendas and packets
  • Attends board meetings; records, prepares, and distributes meeting minutes
  • Coordinates with volunteers and Center for Healthy Living (CHL) Coordinator to ensure consistent execution of front desk and other admin duties, including answering incoming phone calls, managing daily mail, ordering and distributing office supplies, and greeting and managing access for visitors. Personally provides coverage for these duties where necessary.
  • Supports other special events (internal and external) and projects as needed
  • Ensures that meeting and interview rooms are kept tidy and presentable at all times
  • Maintains confidentiality of information at all times
  • Regular and routine attendance
  • Other duties as assigned

Minimum Qualifications:

  • Two years administrative work experience, including organizing office files and preparing business documents and correspondence
  • Working knowledge of office equipment printers, scanners, copiers, etc
  • Effective working knowledge of Microsoft Office suite (Outlook, Teams, Excel, Word, PowerPoint); comfortable navigating in Microsoft Windows environment and using internet browsers.
  • Effective written and verbal English language communication skills
  • Must be fully vaccinated per program or agency requirements.

Absent any regulatory or contractual requirement for specific education/certification, other combinations of applicable education, training, and experience which provide the knowledge, skills, and abilities necessary to perform effectively in the position may be considered.

Preferred Qualifications:

  • Experience providing administrative support to leadership staff
  • Experience with diverse communities
  • Fluency in other languages in addition to English

Work environment and physical demands:

  • This position is eligible for limited hybrid work, with 1-2 days remote and 3-4 days onsite at our offices in Lynnwood, WA.
  • This work is primarily performed in an office environment.
  • When necessary, this work requires the ability to work in a semi-open office setting with frequent in-person interactions.
  • Must be able to use full range of senses including hearing, sight, touch as needed to complete the job's essential duties.
  • Must be able to lift at least 25 pounds occasionally related to equipment/supplies.
  • Work requires occasional travel away from the office during normal business hours.

SUMMARY OF BENEFITS

Employees working 25 hours or more are eligible to enroll in medical, dental, vision, basic life, and critical illness insurance. Employees scheduled for 25-29 hours per week are considered part time and eligible to enroll with an increased cost-share. Employees working 20 hours or more per week receive 11 designated paid holidays plus 2 "floating holidays", and new hires accrue Vacation time at a rate of approx. 1 hour for every 18 worked (approx. 15 days per year). All employees accrue Sick time at a rate of approx. 1 hour for every 22 worked (approx. 12 days per year). Employees age 21 and older are able to enroll in our 401K plan immediately upon hire and, after one year worked and at least 1000 hours worked, will be eligible for our matching program.

New hires are budgeted to start in the $27 - 29/hour range, depending upon experience.
