JOB SUMMARY

Reporting directly to the Executive Assistant, responsible for providing advanced administrative support to the Williamson County Precinct 4 Commissioner. Serves as primary contact for all incoming phone calls, visitors, and e-mails.

EXAMPLES OF WORK PERFORMED

  • Communicates regularly with constituents, the general public, organizational leaders, and county personnel; meets regularly with local boards and commissions
  • Documents, tracks, and assists in resolving constituent issues
  • Processes and reconciles bill payments, invoices, and P-cards while monitoring the office budget, including managing monthly financial statements
  • Ensures comprehensive filing systems and databases are maintained and up to date
  • Enters and verifies data within applicable databases and systems
  • Serves as department liaison for purchasing needs
  • Retrieves, sorts, and distributes incoming mail and e-mails
  • Organizes meetings for the Commissioner
  • Manages and organizes the Commissioner’s calendar
  • Creates and maintains various reports, forms, worksheets, and informational materials
  • Serves as back-up to the Executive Assistant in their absence
  • Orders and maintains office supplies
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carrying

ENVIRONMENTAL FACTORS
  • Work is primarily indoors in an air-conditioned environment
  • Regular travel between work sites as required

IRREGULAR HOURS
  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

MINIMUM QUALIFICATIONS

  • High School diploma or equivalent and five (5) years of clerical experience; OR an equivalent combination of education and experience
  • Working knowledge of Microsoft Office Suite

LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
  • Valid driver’s license

PREFERRED QUALIFICATIONS
  • Bachelor’s degree in a related field
  • Prior office management experience
