Essential Job Functions
The Course Materials Coordinator position will help manage certain aspects of the Course Material program for undergraduate, graduate, and App State Online students. The position will manage course materials adoptions from faculty, provide eBooks for students, place purchase orders for physical books, and assist with key textbook management projects, including book rush, book return, and inventory. Other duties include:
  • This position reports to the Support Services Supervisor and coordinates with them to arrange the sales floor at the beginning of every semester.
  • This position closely collaborates with the Support Services Supervisor using VERBA and NetSuite software.
  • This position may assist with order fulfillment during busy times, such as book rush.
  • This position oversees purchasing, receiving, storing, issuing, and caring for textbooks.
  • This position is expected to assist with other bookstore activities, such as assisting customers on the sales floor during football games.

Knowledge, Skills, & Abilities Required for this Position
  • Knowledge of large-scale textbook retailing operations that include a working knowledge of POS, ICS, VERBA, NetSuite, and university financial management systems.
  • Must have the ability to establish and maintain effective working relationships with publishers, wholesalers, faculty, staff, and students.
  • This position requires excellent oral and written communication skills
  • Knowledge of Excel spreadsheet software
  • Knowledge of mathematics

Preferred Qualifications
  • Prefer a working knowledge of collegiate course material retailing methods and procedures.
  • Prefer working knowledge of NetSuite Business Systems ICS/POS software along with VERBA software systems.
  • Excellent communication and customer service skills are required.
  • Prefer experience with Excel spreadsheets and data entry.

The duties of this position require varying degrees of physical effort. Seasonally, this individual would need sustained physical stamina to stand all day on the sales floor or in the stock areas. Required Functional Competencies to Successfully Perform Job Duties.
CUSTOMER SERVICE :
Customer service is the most important element in any retail space, and that extends to the University Bookstore. During our busiest times, like Book Rush, the Course Materials Coordinator will be expected to provide excellent customer service with faculty and students. Good customer service is comprised of professionalism, courtesy, friendliness, and resolving issues quickly and efficiently.
MANAGING WORK AND PERFORMANCE :
In order to work efficiently, employee will need to create effective workflows and carry them out. Much of this position is based on data entry, so the Course Materials Coordinator will be expected to be a self-starter, set goals, and follow through with their work.
PROGRAM KNOWLEDGE / RECORDS ADMINISTRATION :
The largest workload for this job will be data entry. The preferred employee will embrace using the Verba suite of products when approving textbooks for the rental program. The Course Materials Coordinator will need to know about all aspects of the rental program, and enter records correctly.

Pay will be commensurate with applicant competencies, budget, equity and market considerations.
