The Data and Administrative Specialist, under the general supervision of the Program Coordinator, is responsible for supporting data management and quality improvement efforts for the SF-DPH Population Health and Community Health Equity & Promotion Branch’s Newcomers Health Program. This position is responsible for program data entry using program and state databases, electronic medical records, compiling data, and assisting in generating reports and chart reviews for quality improvement efforts. This position will provide administrative support for program activities, outreach efforts, and meetings.

This is a temporary, grant-funded, part-time (24 hours per week), benefitted position. Employment is provided by Heluna Health.

Pay rate: $26.44 -$30.77 per hour

ESSENTIAL FUNCTIONS
  • Inputs and maintains program data using referral forms, patient charts, and program databases
  • Reviews and collects data from Electronic Medical Records
  • Checks and reviews documents and databases for completeness and accuracy
  • Supports Quality Improvement plans to ensure data accuracy
  • Compiles reports and chart reviews for program partners
  • Prepares, generates, and updates documents, reports, surveys, databases, listservs, and mailing lists
  • Assists in the preparation of quarterly and annual program and financial reports
  • Prepares and tracks purchase orders of program supplies
  • Supports program listserv, meeting preparation, and announcements
  • Attends and supports meetings with program leads, takes notes, prepares meeting minutes, action items, etc.
  • Reviews and documents webpage for updates
  • Meet all program-required timelines and deadlines with accurate documentation
  • Other duties as assigned to support the program and staff
JOB QUALIFICATIONS
  • Excellent written and oral communication skills in English
  • Ability to work with a wide variety of people from diverse backgrounds and disciplines in a clinical and team setting
  • Understanding of and practice in racial and cultural humility in working with patients, communities, and colleagues.
  • Able to communicate with all levels of personnel, e.g., written, verbal, in a professional and concise/clear manner; ability to work within a project team and independently.
  • Ability to be flexible in meeting changing work tasks and timelines; must be dependable and reliable.
  • Capacity to prioritize and meet deadlines.
  • Self-motivated and able to work independently
  • Excellent problem-solving and organizational skills
  • Proficient skill set in using an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Access, Outlook, and Publisher, as well as Adobe Acrobat, Canva, Google suite, etc.

Education/Experience
  • One (1) year of verifiable experience maintaining records, performing quality data entry, generating reports and conducting data analysis, evaluating and proofreading documents, and conducting research.
Other Desired Skills, Knowledge, and Abilities
  • Experience with Epic or other Electronic Medical Record systems
  • Experience using basic medical terminology
  • Experience in webpage development, updates
