GENERAL DEFINITION OF WORK:
Performs complex clerical, administrative, equitable and technical work within an inclusive social services department; duties may be varied, and require selection of appropriate actions among several alternatives. Does related work as required. Work is performed under general supervision. Position may be embedded within work unit and perform duties that are essential to achieve work process. Work requires extensive knowledge of department, division, or unit policies, procedures, and services and ability to communicate these to others. May serve as a lead support specialist and provide direction (not supervision) to lower level DSS Specs.
ESSENTIAL FUNCTIONS:
- Responsible for a variety of routine and complex administrative or semi-technical assignments. Portion of job (<50%) is for tasks/processes initiated and/or completed independently by the employee;
- May lead and provide ordinary, day-to-day direction or support to other, lower-level DSS Specialists in a work unit or work area;
- May serve as point-of-contact for other departmental staff regarding ordinary unit process questions or issues;
- May have access to and/or process highly confidential and time sensitive information, including case-related information in child and adult protection, foster care, adoption, adult, family and children’s benefits, etc.;
- Prepares a variety of documents. Formats, edits, updates and distributes as required;
- Collects unit or division data and prepares reports for manager review. Verifies and enters unit/department-related information into database. Maintains database and keeps information current;
- May maintain contracts and proper paperwork for all CSA vendors and will be responsible on entering rates into the Financial System;
- May prepare agendas and other documentation for meetings, including meeting minutes;
- Meets/greets/screens customers/visitors. Provides assistance as appropriate;
- Responds to and resolves difficult customer-related issues as appropriate, including those referred from lower level support staff; directs to unit supervisor for follow-up as needed;
- Answers unit/department phones, takes messages, and provides responses. Elevates difficult questions and callers to next level;
- May code invoices and processes expense forms for payment;
- Prepares reports specific to unit/department;
- Prepares department-specific mailings;
- Schedules meetings and appointments and administers calendar;
- Establishes and maintains files. Files documents and other materials;
- Assists with bulk mailings;
- May maintain inventory of materials, supplies and/or equipment. May serve as first contact for office equipment maintenance;
- May serve on special and/or regular teams and committees;
- Performs related tasks as required.
Comprehensive knowledge of standard office practices, procedures, equipment and clerical techniques. Thorough knowledge of departmental functions, organization, and policies. Ability to make difficult arithmetic calculations. Ability to lay out and type complex forms and tables. Comprehensive knowledge of business English and spelling. Ability to establish and maintain effective working relationships with employees and the general public, as well as government officials. Basic to Intermediate level proficiency in office-related software. Intermediate level proficiency in County or Department-specific databases. Ability to use a variety of office equipment, including computer, copier, postage meter, Fax, printer, multiple-line phone, paper folder, laminator, projector, and scanner.
EDUCATION AND EXPERIENCE:
High school diploma supplemented with related clerical or administrative experience in social services or related field OR any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
THE SALARY RANGE
The hiring range for this position is $16.87 - $26.49 per hour (approx. $35,093 - $55,096 per year.) Starting offer is based on applicable education beyond minimum requirements and internal equity. The position also provides excellent benefits including 12 paid holidays, paid vacation and sick leave, health insurance options with employer contribution, employer-paid life insurance, VRS retirement, and continuing education/training opportunities. This is a full time, FLSA non-exempt position. Internal candidates will receive pay adjustments in accordance with Local Government Personnel Policy, §P-60.
