SUMMARY
This supervisory position performs a wide range of business administrative duties and provides technical assistance to members of the Executive Team, with primary responsibility for supporting the CEO. The ideal candidate should thrive in a fast-paced, professional environment and must be able to work will minimal supervision. Excellent time-management and organization skills are required. The ability to work collaboratively and successfully meet deadlines is a must for this position. Impeccable discretion in handling sensitive and confidential information is of key importance to this role, as is demonstrated success and confidence communicating and interacting with Executive and Senior leaders. The candidate must exhibit well-developed verbal, written, and visual communications skills with a strong command of grammar, spelling, and attention to detail.
ESSENTIAL DUTIES & RESPONSIBILITIES
  • Provide first-line supervision for up to five Executive Assistants supporting the entire Executive Team.
  • Serve as the general office manager for the C-Suite along with the Chief of Staff
  • Prioritize demands to provide a high level of service to all internal and external stakeholders.
  • Regularly interface with Executive and Senior leaders, shareholders, board members, the public, and co-workers on behalf of the CEO.
  • Provide administrative support to one or more Executives including:
    • Scheduling appointments and maintaining daily calendar/schedule.
    • Preparing, managing, and maintain Executive communications, such as memos, emails, PowerPoint presentations, and reports.
    • Preparing for and supporting scheduled meetings (i.e. attendance, AV, catering, materials)
    • Providing internal system support on behalf of all executives to ensure systemic responses and approvals are received in a timely manner.
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
  • Answer incoming phone calls and route appropriately to ensure the callers’ needs are resolved.

  • Experience leading small teams, or the demonstrated maturity and aptitude to be successful.
  • Ability to work in dynamic environments as well as coordinate efforts across multiple business and locations.
  • Available to respond to critical business issues outside of traditional work hours.
  • On occasion, ability to support and/or attend special events and functions both during and outside of traditional work hours – may require travel.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) required. College degree and/or certification as an administrative professional is preferred, but not required. Three to five years of administrative support experience preferred.
OTHER SKILLS & REQUIREMENTS
Must have proficient typing skills and a solid proficiency with computer systems and word processing software, specifically Microsoft Teams and Office (Word, Excel, PowerPoint, and Outlook Email/Calendar). Must also possess strong organizational, interpersonal, and communication (written and verbal) skills.
LANGUAGE SKILLS
Ability to read and comprehend instructions, short correspondence, and memos. Ability to write Executive correspondence and effectively present information to key stakeholders. Ability to respond effectively to the most sensitive inquiries or complaints.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to work with mathematical concepts such as budgets, discounts, interest, commission, proportions, and percentages with the ability to apply the concepts.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to define problems, collect data, establish facts, and draw valid conclusions. Must be able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists, seeking assistance as needed. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
