We are actively looking for an Executive Assistant III to join us and support CSAA IG in achieving our goals.

Your Role:

The Executive Assistant III will provide executive administrative support to the EVP, Chief Customer Experience & Marketing Officer, VP Consumer, Sustainability & Reputation and the extended Leadership Team within the Customer Experience and Marketing Division.

Your work:

  • Learn and understand the work style of the senior executives that this role supports. Anticipate the senior executive’s needs and continue to be one step ahead of the senior executive(s) to organize, remind, prioritize, and manage their time and projects to meet all deadlines.

  • Scheduling of all internal and external meetings, travel plans, conference calls and day to day activities. Maximize appropriate time allocation to senior executive’s priorities based on understanding the company goals and his/her individual objectives.

  • Proofread documents, messages, presentations. Ensures that grammar and spelling are correct; formatting and brand standards are consistent.

  • Prepare presentation materials for Board of Director meetings. Prepares agendas, notices, minutes and resolutions for corporate meetings and coordinates follow up with meeting participants on tasks/issues as appropriate.

  • Phone call management that will include screening and prioritizing all phone calls.

  • Comfortable interacting with clients who may include external senior executives and the Board of Directors.

  • Write correspondence on behalf of the senior executive. Respond to external correspondence. Type memos, purchase requisitions, payment requests and other department forms and documents.

  • Ability to be very discrete with confidential information.

  • Requires continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures, and resources.

  • Ability to make sound, independent decisions and use own initiative to accomplish tasks at hand.

  • Strong interpersonal, organizational and communication skills are, with the ability to partner with managers at all levels

  • Acts independently and demonstrates effective conflict resolution skills in developing recommendations and solutions to solve complex issues in an effort to anticipate senior executive needs.

  • Highly proficient written and verbal communication skills

  • Advanced computer skills with the ability to train others in system usage

  • Expert in Microsoft Excel, Word and PowerPoint system applications

  • Salesforce and Workday systems knowledge a plus

Required:

  • BA/BS degree or equivalent combination of education and experience

  • 10+ years Executive Assistance experience to senior level executives in a mid-large company

  • Travel as needed for role, including divisional / team meetings and other in-person meetings

This role is a hybrid role and we are looking for someone that is based in CA or AZ with the ability to work 1-2 days a week in either our Walnut Creek, CA or Glendale, AZ offices.
