Specific Job Duties:

The Administrative Assistant will assist and support the Tool Hookup and Line Planning Senior Manager by providing office and employee support. This role will include expense reporting, invoice processing, and planning department events. The administrative Assistant will also help manage new employee onboarding needs, such as desk and computer set up.Assist Senior Manager with running and updating reports/spreadsheets, sending correspondence and other ad hoc projects.
  • First point of contact for invoice submittals and responsible for submitting for department approval, invoice tracking and requesting payment to accounts payable.
  • Cost management to include the coordination and submission of monthly accruals and forecasting; department budget tracking and coordinating the allocation with team leaders; general office supply ordering; check requests for permitting and licensing fees.
  • Coordinate, submit and track Purchase Order requests for department, including for expense projects and service requests.
  • Vendor management to include new vendor set up, onboarding new contractors and badging renewals.
  • Strong organizational skills and ability to reprioritize activities in order to support heavy work flow and competing deadlines and demands. Must be task oriented and comfortable with working within systems and step-by-step processes.
  • Requires excellent oral and written communications skills; excellent interpersonal skills; and proven computer literacy.
  • Responsible for maintaining and updating paper and electronic files.
  • Schedules and coordinates meetings and projects, and handles special assignments from management.
  • Responds to inquiries and maintains positive relationships with customers and personnel while keeping a service-minded attitude.
  • Answers telephone in a professional manner and routes calls appropriately.
  • Requires prompt response to written requests, as well as phone messages.
  • Makes copies, scans documents, prepares and performs other clerical functions.
  • Requires proven analytical skills in interpreting data to ensure accuracy and integrity of data.
  • Team player with effective communication skills, listening skills, and drive to follow through to meet deadlines.
  • Must be able to adapt to changes in the work environment and deal with frequent change and interruptions

Skills and Qualifications:

Education, Training, Certification(s) and Minimum years of experience required:

Minimum of 2 years of clerical experience

Well organized, resourceful, and an effective planner. Can work on multiple tasks at once without losing track; foresees and plans around obstacles
  • Excellent written and verbal communication skills including presentation skills are required to communicate technical content to various organizations
  • Aptitude for documentation and data analysis using MS Office programs, including Project, Excel, Word, and Proficient with Microsoft Office Suite
  • Bilingual in English / Korean, preferred
  • Excellent customer service and communication skills
