POSITION SUMMARY:
The Front Desk Coordinator is responsible for answering telephones, greeting clients, guests, and visitors, and ensuring individuals sign in/out of building and adhere to all entry guidelines. The Front Desk Coordinator is also responsible for assisting with medical records including filing, transferring, and sending data into and out of ESCT Carrollton office database programs as needed. Candidate must be able to understand and adhere to HIPAA and PHI guidelines. This role will also perform duties in the areas of Facilities & Supplies, Data Entry, and Customer Service. The Front Desk Coordinator provides overall support to the programs and staff.
Essential Job Functions:
- Engages in positive interactions with coworkers and supervisors.
- Participates in Easterseals Central Texas Carrollton office meetings as required and appropriate.
- Knows and abides by Easterseals Central Texas Carrollton office policies and procedures.
- Promotes a unified, team-oriented atmosphere in all communications and actions.
- Provides exceptional customer service, both internally and externally.
Front Desk
- Answers telephones.
- Collects demographic information and accurately enters it into Electronic Medical Records (EMR) system.
- Schedules therapy appointments.
- Greets clients, guests, and visitors.
- Ensures clients, guests, and visitors sign-in and out of the building.
- Collects required Easterseals Central Texas Carrollton office forms from clients.
- Focus on data integrity so that accurate reports can be generated in Raintree or current billing/documentation programs.
- Posts and distributes mail.
- Assists in special projects as necessary.
- Provides support to Authorization & Benefits, as needed.
- Facilitate admission operations by following policies and procedures, HIPAA compliance, and reporting compliance issues.
- Serve as a Customer Service ambassador for clients and coworkers.
Facilities and Supplies
- Acts as point-person for building maintenance, equipment maintenance, ordering supplies, and distributing keys.
- Assures day-to-day operations run smoothly in order to allow all team members to complete jobs and responsibilities effectively.
- Assists with building issues as needed across sites.
- Assists with and serves as contact for staff during emergency incidents such as spills, breaks, and accidents.
- Ensures team members have essential and necessary supplies through the checking, requesting, and distribution of supplies and materials; and
- Coordinates with all programs administrative support to ensure program needs are being met.
Data Entry
- Assists programs with data entry for various databases, including Raintree.
- Assists programs with pulling data for various reports for funders, regulatory agencies, and other requests as needed.
Medical Records
- Assists team with uploading documents into Electronic Medical Records (EMR) system
- Assists team with sending medical records.
Customer Service
- Provides exceptional customer service, both internally and externally.
- Serves as Interpreter/Translator, as needed.
- Maintains an effective and professional working relationship with consumers and their families/care providers, co-workers and referral sources.
Experience and Education:
- High School diploma or equivalent preferred.
- One (1) year of experience in a customer service field preferred.
- Computer proficient; must have strong knowledge of the Microsoft office products (Outlook, Word, Excel, Teams)
- Electronic Medical Records (EMR), specifically Raintree, preferred.
- Able to handle information in a confidential manner, provide exceptional customer service both internally and externally,
- Ability to connect with children and individuals of all abilities.
- Excellent written and oral communication skills, and good organizational skills.
- Bilingual (English/Spanish) preferred.
