The Office of Immigration Services (OIS) has an immediate opening for an Immigration Specialist to join our team. The OIS office provides legal and strategic U.S. immigration counsel to the OUNorman and OUTulsa campuses; drives immigration compliance, and supports the immigration needs of international employees and their families. Reporting to the Office of Immigration Services Director & Immigration Attorney, the Immigration Specialist serves as a contact to assist the campus community with complex immigration matters. As an Immigration Specialist, you will be passionate about employee engagement, solving complex immigration problems, and helping the University achieve strategic goals by bringing the best and brightest international faculty, staff, and scholars to OUNorman and OUTulsa.

Duties:
  • Responsible for the OUNorman & OUTulsa J1 scholar program.
  • Advise J1 research scholars on immigration regulations. Provide adjustment and integration support. This position will interact on a consistent basis with: Unit management and staff. This position typically will advise and counsel: International scholars, staff, and faculty.
  • Monitors J1 immigration caseload to ensure all cases are extended in a timely manner for research scholars, professors, and specialists.
  • Communicates with federal agencies and maintains compliance with all requests, requirements, and regulations.
  • Provides information about university policies and procedures that ensure ongoing compliance with immigration regulations.
  • Coordinates with the OU Office of Export Controls to ensure regulatory compliance with International Traffic in Arms Regulations, Export Administration Regulations, and Office of Foreign Assets Control.
  • Advises international employees and University departments on immigration matters, relatedsupport services, crosscultural communication, community engagement and all aspects of SEVIS regulations to ensure maintenance of their nonimmigrant status.
  • Serve as a Department of State Alternate Responsible Officer (ARO) to carry out the duties outlined in 22 CFR 62.11.
  • Ensures compliance with federal regulations by monitoring, verifying, and updating the mandated SEVIS data, travel validation, orientation attendance and other updates as necessary.
  • Maintains detailed and organized files on all casework. Ensures consistency and accuracy of data in administrative databases including but not limited to creation of new immigration files. Updates data in the system and keeps detailed notes and records. Ensures timely and accurate filing of all required documentation for employment petitions.
  • Works closely with leadership to ensure proper understanding of the application of immigration regulations in university policies. Takes appropriate initiative and exercises discretion within the scope of assigned duties.
  • Serves on internal committees and participates in work groups to support the mission of the University.
  • Performs various duties as needed to successfully fulfill the function of the position.
Job Requirements


Required Education & Experience:
Bachelor's degree, AND:

  • 24 months of academic advising, student services, and/or professional experience handling immigration casework.

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 72 months of related experience.

Skills:
  • Proficient in Microsoft Access
  • Detail oriented for accuracy of data and information
  • Highly organized and ability to handle multiple projects and deadlines
  • Ability to communicate well and build rapport with students, faculty and staff
  • Ability to be diplomatic, composed, and proactive in varied interactions
  • Exemplary crosscultural communication skills

Additional Requirements:

  • Must be a Lawful Permanent Resident or US Citizen to serve as an Alternate Responsible Officer & access SEVIS (federal database).

  • Sit for prolonged periods. Ability to engage in repetitive motions. Effectively communicate and listen.
  • Standard Office Environment. Frequent exposure to pressure caused by deadlines and busy periods.
  • Requires contact with other departments and University officials.
