Description of Work Unit
The Cooperative Institute for Research in the Atmosphere (CIRA) at Colorado State University (CSU) is a multi-million dollar research organization located on CSU’s Foothills Campus in Fort Collins, Colorado. CIRA is a cooperative institute (CI) that is also a research department within CSU’s College of Engineering, in partnership with the Department of Atmospheric Science. Its vision is to conduct interdisciplinary research in the atmospheric sciences by entraining skills beyond the meteorological disciplines, exploiting advances in engineering and computer science, facilitating transitional activity between pure and applied research, leveraging both national and international resources and partnerships, and assisting the National Oceanic and Atmospheric Administration (NOAA), CSU, the State of Colorado, and the Nation through the application of our research to areas of societal benefit. Expanding on this Vision, our Mission is to serve as a nexus for multi-disciplinary cooperation among CI and NOAA research scientists, University faculty, staff and students in the context of NOAA-specified research theme areas in satellite applications for weather/climate forecasting. Important bridging elements of the CI include the communication of research findings to the international scientific community, transition of applications and capabilities to NOAA operational users, education and training programs for operational user proficiency, outreach programs to K-12 education and the general public for environmental literacy, and understanding and quantifying the societal impacts of NOAA research.

Position Summary
The individual in this position reports to the Assistant to the Director’s Office and serves as a member of the CIRA Admin Team to provide support to the research staff located at CIRA on the CSU Foothills Campus located 5 miles Northwest of the CSU main campus, as well as staff located in Boulder and other remote locations. Specifically, the individual in this position will work Monday-Friday to provide clerical support from CIRA’s front desk, lead on-site facilities-related projects, and process financial documents. Under the Fair Labor Standards Act (FLSA) this position is non-exempt and requires work hours to be recorded via online time clock. This position may allow remote work 1 day per week.
Required Job Qualifications

- Bachelor’s degree OR a High School Diploma (or GED) plus at least 3 years of full time experience working in a professional office environment (in lieu of degree);
- Experience using Microsoft Office programs such as Word, Excel and Power Point;
- Experience using KFS to make purchases and process travel and other financial actions;
- Experience using Microsoft Teams, GOTO, Zoom and/or Google Meet virtual meeting software;
- Experience prioritizing work to match deadlines and critical needs;
- Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date;
- Must be able to frequently lift up to 30 lbs. without assistance from another person or from a tool;
- Must be a CSU employee
Preferred Job Qualifications
- Bachelor’s degree in business or liberal arts or related field;
- Experience using Oracle;
- Familiarity using building proctor systems such as C-CURE and EACR;
- Experience in PCARD administration;
- Experience supporting conferences and/or meetings by setting up and arranging meeting spaces;
- Experience using Microsoft Word to edit technical and business documents;
- Excellent interpersonal skills with a focus on customer service;
- Excellent communication skills (written and verbal);
- Keen attention to detail.

- Enter and track financial documents using Kuali Financial System (KFS);
- Pay invoices and process reimbursements for employees;
- Review expenses and create quarterly invoices, then send to non-CIRA staff, and deposit checks or follow-up on outstanding invoices;
- Use CSU procurement card (PCARD) to pay registration and abstract costs for researchers;
- Administer department PCARD program which includes reallocating transactions, routing and tracking monthly statements, requesting changes/additions/deletions and tracking cardholder’s limits, and coordinating with Procurement Office;
- Route and track electronic documents for signature.

- Provide travel and purchasing support for CIRA Boulder and OST employees and guests and make travel arrangements using KFS;
- assist meeting set-up by arranging meeting space/furniture, maintaining conference room calendars, running errands, etc.;
- Answer CIRA main phone line and direct calls, greet and direct visitors;
- Create and update documents and spreadsheets;
- Scan and photocopy documents;
- Collect researcher input and create document for weekly report distributed to Federal sponsors;
- Create and maintain schedule for daily weather briefings;
- Purchase office supplies;
- run errands to main campus and local businesses;
- Tidy breakroom area; water plants.
