Central Stores is the main receiving location for the AMERICAN facility in Birmingham, Alabama. The Receiving office personnel are responsible for providing excellent customer service to AMERICAN employees and vendors while receiving raw materials, maintenance, repair and operating supply (MRO) materials and moving them to the appropriate location(s). Picks up mail/packages from designated internal or external storage areas, sorts and distributes mail to respective locations, including UPS/FedEx.

  • Uses AMERICAN Enterprise Resource Planning (ERP) system(s) to receive bulk materials to the appropriate charge account(s) to process bulk materials delivered to different shop areas. Enters correct data for material(s) received against the purchase order(s) in AMERICAN's ERP system.
  • Performs in-plant deliveries of non-stock materials to designated departmental locations.
  • Practices 5S principles to maintain a safe, orderly warehouse.
  • Weighs, measures or converts units of measure (UOM) to match quantities on order.
  • Receives incoming materials by performing material inspections to verify that contents received match shipping documents and purchase order (PO) information while also inspecting for damage.
  • Unloads Less than Truck Load (LTL) delivery trucks on receiving dock using forklifts.
  • Provides on-site unloading by forklift for palletized bulk orders.
  • Processes shipping documents, packing slips, material certifications, etc. for record retention.
  • Keeps work area clean and orderly. Knows safety rules that apply to the safety of others and to personal safety. Reports malfunction of equipment to proper authority. Performs other work as instructed by supervision. Knows safe handling procedures.
  • Checks daily transaction reports to verify the previous day's receipt transactions to ensure data accuracy.
  • Labels materials received and located stock items into inventory locations or places non-stock materials in the proper delivery staging area.
  • Moves materials to the appropriate staging area for delivery and restocks inventory.
  • Provides materials support which includes pick-ups/deliveries to local vendors, internal delivery of shop replenishment orders pulled from inventory, and other material movements assigned by supervision.
  • Coordinates with vendor representatives, buyers, and accountants to resolve basic material, PO and/or invoicing issues.
  • Assists Plant Maintenance personnel in adding materials repaired, made, and/or inspected into Central Stores inventory.
  • Operates mail vehicles to pick up and deliver mail to downtown post office and designated internal areas daily per route assignment.
  • Picks up, sorts, and distributes mail/packages to and from designated internal locations per routing assignment.
  • Performs various shipping functions, (i.e., weighing packages, affixing postage, certified mail, registered mail, first class mail, tracking shipments, etc.) by utilizing FedEx, UPS and USPS software. Documents and sends packages.
  • Conducts business at the post office (i.e., certified, insured, and bulk mail) as required.
  • Verifies overnight mail invoices and forwards to General Accounting.
  • Properly handles mail that is confidential and sensitive in nature. Incumbent must maintain the confidentiality of this information.

MINIMUM QUALIFICATIONS

  • Must be physically able to perform the essential functions of the job, with or without reasonable accommodations.
  • Must exhibit the knowledge, skills, and ability to perform the job duties.
  • Must possess a valid driver's license.
  • Must exhibit the ability to add, subtract, multiply and divide whole numbers, and common fractions.
  • Must meet the physical requirements for safe operation of mobile equipment as administered by the Safety department.
  • Must exhibit basic personal computer skills with the ability to become proficient in operating common windows - based word processing and computer programs, including spreadsheet and word processing programs, e-mail. Skills must be demonstrated.
  • Due to the hazardous nature of the job environment (mobile equipment, overhead cranes, etc.), an acceptable level of vision and hearing are required in order to identify and respond to visual and audible warnings in a safe manner.
  • Must exhibit good oral and written communication skills (i.e. good command of grammar and spelling).
  • Must exhibit a record of punctuality and good attendance.
  • Must exhibit the ability to cooperate well with others and provide excellent customer service while possessing a positive attitude.
  • Must exhibit the ability to learn. Weight will be given to related course work and/or work experience in inventory management, warehouse operations, and industrial parts.
  • Must exhibit attention to detail.
  • Must exhibit the ability to complete multiple tasks with numerous interruptions.
  • Must exhibit the ability to work with confidential information and maintain confidentiality.
  • Must be able to successfully complete a background inquiry upon job offer.

PREFERRED QUALIFICATIONS

  • Possess a valid Commercial Driver's License (CDL) with Classification "B" licensure. Proof of license is required.
  • Exhibit prior experience in the use of AMERICAN Enterprise Resource Planning (ERP) System(s).
  • Exhibit prior experience in mail services, materials receiving, warehousing, and/or inventory control.
  • Exhibit the ability to read and interpret basic technical drawings that document an engineering design for mechanical parts and bill of materials.

ESSENTIAL PHYSICAL FUNCTIONS

  • Sitting required at desk while typing, writing, and performing routine desk activities. Also, sitting while driving mail vehicle and mobile equipment.
  • Standing required at counter, on dock while helping customers, sorting and/or delivering mail, typing shipping labels, correspondence, faxes, etc.
  • Walking required in warehouse and to different offices is required, on level and rough (dirt, gravel, etc.) surfaces for delivering mail within the plant, etc.
  • Climbing stairs required to get to office(s) on mail routes, on dock, and within the plant.
  • Climbing a ladder required to verify physical inventories in storage locations.
  • Balancing required while on ladder.
  • Stooping, kneeling, and/or crouching required to check materials, to stock materials in bins, and to put material on pallets, pick up mail/ packages, and when loading/unloading mail or boxes into mail vehicle.
  • Overhead, forward, and bended reach required to stock materials in the bins. Overhead reach also required to climb ladder. Forward reach required for desk activities such as sorting mail, writing, telephone use, driving mail vehicle, etc. Bended reach required to pick up packages/mail, etc.
  • Handling required for using telephone, climbing ladder, driving, handling parts/papers; to sort, carry, deliver, and pick up mail, etc.
  • Use of fingers required for typing, phone, writing, paperwork, sorting mail, etc.
  • Talking required for telephone, with co-workers, with customers, and with supervisors.
  • Vision required for inspecting materials, for safety, quality, paperwork, driving, sorting/delivering mail, and other desk activities.
  • Hearing required for safety and communication.
  • Lifting occasionally required for materials up to 100 pounds with assistance; frequently required for items weighing less than 30 pounds. (i.e. UPS/Fed-Ex packages, machine parts, etc.)
  • Carrying small parts usually weighing 10 to 20 pounds required. Carrying frequently required for mail packages weighing 25-40 pounds.
  • Pushing and pulling required for carts, file drawers, bin drawers, etc. Pushing and pulling required for hand truck, etc. with up to 20 pounds force. *In the sorting area, the table is approximately 32" high; mailboxes range from 42-71" high and are 30" deep. **While performing duties on mail route can be exposed to various outside weather conditions, such as, rain, cold, heat, wind, etc.
