Materials Management Specialist

The Position
Our Materials Management Specialists are trained subject matter experts in our inventory and logistics systems that allow us to keep our customer’s locomotives running smoothly and efficiently. This role is responsible for a variety of critical tasks where you’ll interact with customers and employees across the company to solve business problems with large scale implications.

What You’ll Do:
  • Responsible for ordering material across multiple sites at full lead-time to match associated schedules
  • Monitor on hand active and upcoming material to ensure material is available
  • Manage special projects including developing transactional processes, working through special circumstances or instructions, implementing new processes, and general material support.
  • Work with Engineering and Fleet teams on upcoming new fleets to develop materials lists, and with buyers to ensure parts are delivered on-time
  • Track new fleet performance and monitor material usage closely - plan and adjust accordingly for optimal material availability
  • Assist in monitoring constrained or critically allocated material including daily monitoring of extremely low on hand material and attending regular calls to obtain parts needed for locomotives
  • Engage supply chain on critical needs and communicate potential upcoming problem parts
  • Process customer sales orders and resolve system errors so orders will generate in system correctly
  • Update Accounts Receivable Past Due Report to ensure invoices are being paid on time and any issues are resolved so payment is not delayed.
  • Work with internal senior leadership team on over the counter (OTC) sales. Ensure OTC Sales to customer are processed timely, invoices are generated quickly, validated, and appropriately approved. Create solutions to improve the OTC process, as needed.
  • Responsible for transportation metrics, including:
    • The tracking of transportation costs
    • Reviewing weekly charges for accuracy before they are posted in the ledger
    • Reviewing monthly charges after ledger close to look for accuracy
    • Following up on any errors to ensure the account is credited for mis-classed charges
  • Search for potential transportation savings, generate processes, and drive team engagement of processes to ensure savings are captured
  • Coordinate with Ryder and Services Logistics Team on active projects to ensure data accuracy and process compliance
  • Complete indirect purchasing for special projects
  • Track and report on material metrics for team during staff meetings
  • Work with all levels of personnel internally in resolving issues, tracking material availability, and advising on material usage. This includes analyzing duplicate usage, lost shipments, overages, missing material, troubleshooting oracle errors, helping track material discrepancy, and other items as needed and required.
  • Work with 3rd party shops to ensure inventory accuracy and core accuracy, as needed
  • Communicate with suppliers regarding order status and changes in delivery dates or quantities
  • Backfill Material Manager and/or Material Specialist vacancies when needed
  • Provide technical training for new hires, ensuring they have all materials and information needed to be successful in their new roles on the materials team
  • Cross-train in multiple areas for vacancy coverage, as needed and required
  • Provide overall support on any material issue to find solutions to a wide array of complex problems
  • All other job duties as assigned and required
Qualifications/Requirements
  • Bachelor’s degree from an accredited university or college (strongly preferred)
    • OR an Associate Degree + 2 years of relevant professional work experience (including military experience)
    • OR a High School Diploma / GED + a minimum of 4 years of relevant professional work experience (including military experience)
  • Prior experience in production control or planning, logistics, sourcing, material control, or another related environment
  • Ability to manage multiple tasks and establish effective work priorities
  • Willingness and ability to work various shifts, various days, and work in shop environment
  • Proficiency in MS office applications, including Excel and Access applications
  • Strong oral and written communication skills
  • Strong interpersonal and leadership skills
  • Ability to interface at all levels of the organization professionally and effectively, both internally and externally
  • The ability to maintain reliable and predictable attendance
  • A high level of dependability, a great attitude, and an ability to work well with a team towards achieving a common goal
