Overview
This position reports to the Keys Area President and works from the Key West office. A wide variety of responsibilities are included, from answering phones and maintaining the Monroe office; to administrative support for the Keys Area President, the Reef Revitalization initiative, and the Local Advisory Board; to helping expand community impact and philanthropic efforts. This employee must become familiar with community needs and associated stakeholder’s roles.
Responsibilities:
Operations
- Support Keys Area President with administrative support related to community impact, philanthropy, and operations.
- Manage flow of Keys office, including organization, ordering supplies, checking and processing mail, etc.
- Work with regional office to respond to correspondence as well as maintain accurate contact information for partners and other stakeholders
- Assist with distributing Local Advisory Board meeting packets, prepare meeting minutes and support Local Advisory Board members as needed
- Ensure that all local record keeping, both physical and electronic, is maintained as outlined in organizational policies, as well as catalog relevant communications
- Scan, enter and categorize all Keys receipts and invoices for AP approval and payment
- Provide administrative support for Keys special programs and initiatives including the Reef Revitalization program
- Provide administrative support for regional Community Impact programs, as needed and directed by Keys Area President
Stakeholder/Community Engagement
- Provide external facing support including front desk coverage, answering phones and responding to clients, donors and stakeholders
- Field client assistance inquiries and make appropriate referrals
- Support community impact work including the Stuff the Bus and Be Like Mike programs
- Work with Vice President Philanthropy and Keys Area President to cultivate, solicit, and steward philanthropic support from individuals and corporations in Monroe County
- Support regional workplace giving efforts in coordination with Keys Area President and Community Relations Coordinator
- Maintain Monroe’s online Community Resource Guide and periodically coordinate production of the updated printed version
- Participate in public-facing opportunities for client or donor engagement, community outreach, advocacy or brand and program awareness
- Support organizational social media, online and written communication as needed
- Develop understanding of Monroe community needs and relevant stakeholders
Capacity Building
- Assist with identifying and facilitating special projects, events and opportunities
- Maintain awareness of best practices and internal systems with a focus on future needs and budget capacity
- Other duties as assigned
Qualifications
The Monroe Operations and Community Engagement Coordinator will be thoroughly committed to United Way of Collier and the Keys’ mission. Experience working in a collaborative setting, with the ability to multi-task and work with and without direct supervision is a must. Organizational, communications and relationship management experience are desired. Full-time Monroe County resident preferred.
Skills Needed
- Outstanding written and verbal English communication skills; additional fluency in Spanish or Creole language is ideal
- Excellent organizational skills; ability to ability to work locally and independently, as well as collaboratively as part of a regional team
- Thorough knowledge of Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint as well as Adobe Acrobat; comfortable learning new technological skills. Familiarity with Raiser’s Edge, SharePoint, Canva and Constant Contact are a plus.
- Proven experience as an office administrator or relevant role; familiarity with office management procedures and basic accounting principles.
- Two years of college required; Bachelor’s degree preferred.
- Valid driver's license and automobile with current insurance; occasional travel using a personal vehicle within the county is required.
- Ability to lift 35 pounds, climb stairs and occasionally move supplies

- Public engagement experience preferred with the ability to engage a wide range of stakeholders and cultures individually and in group settings

- Early morning, evening and weekend work will periodically be required
- Occasional travel within Collier and Monroe County and the State of Florida expected; as well as out of state, overnight travel infrequently
Position Type
- Full-time, exempt
- Salary ($48,000-$55,000) commensurate with background and experience
