Detailed Objectives/Responsibilities:

1 – Supervisory

  • Directly supervises 1-8 staff in the Park Office department
  • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws
  • Interprets PV Personnel Policies for staff and enforces safety regulations
  • Plans, assigns and directs work to staff
  • Interviews and recommends new hires
  • Trains staff where / when required
  • Conducts staff performance appraisals and recommends wage increases
  • Rewards and disciplines staff when appropriate
  • Documents and resolves all staff performance management conversations, issues, complaints and problems

2 –Accounts Receivable

  • Apply charges:

o Association Dues – yearly

o Electricity Charges – quarterly

o Late Fees – monthly

o Interest – monthly

o Dryland Marina Rent – yearly

o Mini-Storage Rent - yearly

o Violation Fines – when directed

  • Post payments:

o Checks – Directly through Cash Receipts

o Receipts through ACME – Cash Receipts

o Payments from TheShop – ACME or Cash Receipts

o Scan checks (other method of payments are made through ACME, deposit bags are made for cash & checks when needed)

  • Reconcile A/R:

o Past Due electric bills spreadsheet

o Past Due Association Dues spreadsheet

Accounts Receivable - Continued

o A/R Binders

  • New Association Member:

o Update information in ACME/Turningpoint

o Update Key Fob information

o Create labels, 1 for file & 1 for envelope

o Create welcome letter

o Add to Website

  • Current Association Members:

o Update address & phone numbers

o Create and apply labels for annual Association Dues mailing & Annual meeting mailing – envelopes, Dues Statement & voting slip

o Electrical Billing:

o Update previous reading on Meter Reading Worksheet

  • Enter current readings in Tops – print invoices
  • Update Lot Owner Directories

3 – Park Office Staff

  • Process payments
  • Create Work Orders – for Association Members

o Tree removals

o Permits

o Electrical issues

o Water issues

o Material delivery & spreading

o Dryland Marina & Mini-Storage vacancies

  • Create Service Requests – for Pathfinder Village work
  • Reserve Guest Sites

o Create weekend packets for guest

  • Create Motorized Vehicle Plates & tabs
  • Assign & keep track of Dryland Marina sites & Mini-Storage units
  • Collect mail from mailbox and mail slot – distribute as needed
  • Assign Key Fobs when purchased
  • Enroll Key Fobs
  • Golf Cart Storage

o Update & make copies of form each year

o Update spreadsheet & add to when payment received

o Printout spreadsheet for Administrator & Maintenance

  • Snowplowing

o Update & make copies of form each year

o Update spreadsheet & add to when payment received

o Printout spreadsheet for Administrator & Maintenance

  • Update Blue Board with messages
  • Unlock & lock package building daily
  • Check Park Office email for Association Members requests
  • Help fold, stuff, seal & put postage on annual mailings
  • Create sign-up sheets for summer activities

o Garage Sales

o Christmas in July lot decorating

o Halloween Trick or Treating lots

Park Office Staff - Continued

  • Create the lists of the abovementioned activities for the Weekender
  • Create the Weekender

Miscellaneous Responsibilities

  • Create Season Golf Passes
  • Set up computers at the Golf Clubhouse, Grill & Pool Store
  • Train Grill Cashier & be available for any issues during open hours
  • Count and make change for the Country Store, Golf Clubhouse & Grill
  • Get deposits ready for armored truck to pick up
  • Sale of Property Permit
  • Research items for Administrator
  • Create forms for Administrator
  • Update Recreation activities forms
  • Take year-end inventory

4 - Confers with other supervisors/managers to coordinate activities of individual departments

5 – Purchasing

  • Requisitions tools, equipment and supplies
  • Requests any purchases to PV management/Board of Directors
  • Ensures all invoices, receipts, contracts etc. are appropriately documented and approved for all purchased items prior to submitting for payment
