The patient services coordinator serves as an integral part of the team at the Swedish Breast Imaging Center. As the first point of contact to the patient, they must exhibit exceptional customer service skills. Communication tone and proactive problem solving are key to successfully assisting patients when they call and/or arrive in the SBIC department. This position performs a variety of front office clerical and support tasks within an outpatient setting. Primary responsibilities include appointment scheduling, patient registration and timely check-in/communication to the technical team when patients arrive for their appointments. All duties are to be completed with an exceptional customer service approach designed to optimize the patients experience in the Breast Imaging Center.
- Demonstrates exceptional customer service skills in all interactions with patients and their families, coworkers and physicians, and affiliated office staff both in person and on the phone.
- Answers and triages incoming phone calls. Takes messages as necessary and relays to appropriate staff. Mails or faxes reports at provider’s request. Schedules patients for upcoming appointments in Epic and completes Pre-registration if applicable.
- Performs timely and accurate registration and check-in of arriving patients. Both Pre-registration and point of service registration processes in Epic must include all information needed to send complete and accurate claims information to the billing office including, but not limited to, accurate patient demographic and insurance information.
- Notifies appropriate staff of patient arrival. Prints and distributes admit forms as necessary.
- Processes all incoming departmental mail. Completes mail distribution of patient result letters, physician result letters and patient reminder notices. Logs outside films/CDs into Epic.
- Completes other support tasks as required. These include but are not limited to film room tasks such as filing and requesting prior films, medical records processing, or scanning images/documents into Epic system.
- Keeps work area neat, orderly and well stocked with the necessary supplies. Keeps patient waiting area orderly through the work day, maintaining pamphlet and magazine supply.
- Demonstrates a good understanding of the overall departmental operation, following departmental policies and procedures.
Required qualifications:
- 6 months experience performing general and specialized office duties.
- Experience in obtaining insurance verification, referrals, and authorizations.
- Experience with medical terminology and basic medical record processes.
Preferred qualifications:
- 1 year experience performing general and specialized office duties.
- Prior hospital or clinical experience.
- 1 year scheduling experience.
- Experience with computerized scheduling or relational databases
