Job Purpose
The Payroll and Payroll Tax Specialist is responsible for the monthly processing of International Payrolls in Japan, UK and the Netherlands and for assisting with the processing of bi-weekly USA and Canada Payrolls. This position will be responsible for managing the payroll tax returns for the USA, Canada and international locations which are prepared by 3rd party vendors as well as with managing the employer accounts with the numerous states and jurisdictions of employment. This position interacts closely with international tax consultants and assists with managing the international ex-pats and business travelers. The Payroll and Tax Specialist will act as backup for the Senior Manager, Payroll and Compliance, be a resource to employees and perform related duties as required.
Duties and Key Accountabilities
- Prepare, process and audit international payrolls using the soon to be implemented, Safeguard Global Unity Platform. (Canada, Japan, UK and Netherlands).
- Assist with implementation and testing of Safeguard Global Unity payroll.
- Assist with USA Payrolls as needed.
- Download and review quarterly and annual payroll tax returns for USA entities (ADP) and Canada, Japan, UK and The Netherlands.
- Reconcile and balance payroll registers quarterly totals to tax filings and annual filings including W-2’s and T-4’s.
- Process agency inquires and collaborate with ADP/Ceridian/Safeguard for resolution.
- Assist in preparing amendments and follow up on resolution of payroll tax issues.
- Responsible for complying with local, state and federal payroll regulations and respond to questions and information requests from government agencies.
- Partner with International Tax Consultants and manage International Employees and Ex-Pats.
- Manage, calculate, and process taxable fringe benefits reporting and shadow payrolls for Ex-pats and USA/Canada Employees.
- Act as a liaison with Pattern Tax Department for employment related taxes.
- Collaborate with Accounts Payable, Accounting and HR to identify and report taxable payments to employees.
- Keep current on payroll and payroll tax related legislative changes and updates.
- Function as payroll tax SME for Pattern HR Staff and other departments.
- Research taxability of new benefits and comp programs as needed.
- Perform periodic internal audits of payroll processes and prepare materials for external and internal auditors.
- Provide support for special projects as assigned by the Senior Manager. Payroll and Compliance.
Qualifications
Experience/Qualifications/Education Required
- College degree in BA/BS, Business, Accounting, Finance, Tax and/or HR, preferred.
- 5+ years of payroll and payroll tax experience.
- Experience with international payrolls, Ex-Pats and Business Travelers
- Experience with federal, state and local statutory taxes.
- Continuing education to stay abreast of regulatory and professional changes.
- Advanced Excel skills including VLOOKUP and Pivot Tables
- Membership in APA and other Payroll related Professional Organizations, CPP a plus
- Strong ability to maintain confidentiality for payroll, HIPPA and other employee personal information
- Excellent verbal and written communications skills
- Strong desire to expand knowledge and assume increasing levels of responsibility
The expected starting pay range for this role is $39 to $52/hr USD. This range is an estimate and base pay may be above or below the ranges based on several factors including but not limited to location, work experience, certifications, and education.
