Responsibilities:

The Program Coordinator is an integral component of the PFPA contract program management staff and will provide administrative support to the Program Management team to ensure day-to-day contract operations remain consistently efficient to meet company and client expectations. The Program Coordinator will play a critical role in cultivating and maintaining cohesive work relationships with the company, client, and teaming partner staff members and will strive for continuous process and program improvement.

Essential Functions

  • Meticulously review, process, and maintain compliance and payroll documentation with accuracy and in a timely manner.
  • Assist with the company, client, and teaming partner inquiries as needed, while maintaining the highest degree of confidentiality.
  • Assist with the review of candidates’ profiles; ensure completeness and accuracy of all documentation and training and adherence to company and contract hiring standards and processes.
  • Coordinates scheduling of candidates for contract-required training and on-the-job training (OJT), generates and submits Common Access Card applications and NLIC background check documentation to the client, and processes and submits candidates’ separation documentation to the company and client.
  • Manage all daily, weekly, and monthly administrative tasks and duties, including running reports in a timely manner and assisting the Program Manager with preparing the contract’s monthly briefing.
  • Strong ability to work in a fast-paced environment, maintaining a sense of urgency at all times.
  • Researches analyzes, interprets, and evaluates data and information to present to the Program Management team.
  • Serve as the contract’s timekeeper by coordinating the submission and processing of timesheets with Captains, Program Management staff, Payroll, and Corporate Trainers. Reviews timesheets for accuracy and enters timesheet data in the WinTeam system for timely payroll processing.
  • Prepares meeting minutes and tracks action items and suspense dates.
  • Assist with reviewing, generating, and managing compliance and training files. Enters compliance data into the WinTeam system for tracking and reporting purposes.
  • Tracks uniform requests and submit orders via the company’s uniform vendor portal, monitors order status, and issue uniforms to new hires and existing employees.

  • Excellent communication and interpersonal skills, including the ability to effectively communicate with internal and external clients, both written and oral.
  • Experience in a federal service contract setting is strongly preferred.
  • Experience in the physical security industry is strongly preferred.

Qualifications:

  • Must possess a High School Diploma and three years of administrative experience.
  • One year of prior experience in program coordination and payroll/timekeeping is preferred.
  • Must be at least 21 years old.
  • Must be U.S. Citizen.
  • Must fluently speak, read, comprehend and compose coherent written reports in English.
  • Must be proficient in using common office equipment and software, including computers, printers, scanners, and Microsoft Office Suite.
  • Prior experience utilizing WinTeam software is highly desired.

Additional Eligibility Qualifications:

  • Must pass a pre-employment drug screening, company background check, and federal government NLIC background check.
  • Must obtain a Common Access Card (CAC) issued by the federal government.

Pay: $55,000.00 - $65,000.00 per year
