Job Summary
The program manager will support HHI's Transitional Justice project and National NGO Program on Humanitarian Leadership. Other future projects may be added to the program manager's portfolio.
In this role, the successful candidate will lead and manage day-to-day operations, provide support to program staff, support human resources management, provide oversight of grant and non-grant financial accounts, and monitor and report on project implementation. Candidates should be willing and able to travel internationally if programmatically necessary, following institutional travel policies, and dependent on COVID-19 restrictions. The candidate will be part of the HHI operations team and work closely with finance, human resources, grants administration, and other departments at HSPH. The candidate will have excellent communication skills to interact with a range of external and internal partners, faculty, staff, interns, fellows, as well as all stakeholders. The Program Manager will directly report to the Principal Investigators (PI).
Position Description
- Develop and execute a project management plan to track performance of deliverables against project timelines, grant deliverables, goals, budgets and objectives.
- Oversee compliance with all funding agencies and the IRB by ensuring that required information is maintained and reported on a regular basis.
- Work closely with the GHP Finance Team at HSPH to steward project proposals and manage post-award activities.
- Ensure project quality and performance.
- Monitor expenses against and balance of various project fund accounts in collaboration with GHP Grants Manager.
- Substantively contribute to report-writing and other communication materials.
- Share program news for dissemination on HHI digital platforms.
- Request and track new vendor set-up for purchases and onboarding of independent contractors.
- Submit invoices for payment and receipts for reimbursement through distinct project accounts.
- Assist in travel planning of project team members.
- Organize team meetings (invites, scheduling, agendas, notes, etc.)
- Complete ad-hoc research and program development activities
- Travel to support program and research implementation when necessary
- Support the management and coordination of Building the Better Response program
- Other duties as assigned by the PI.
PLEASE NOTE: This is a part-time, benefits eligible position with a schedule of 17.5 hours per week.
PLEASE NOTE: This position has a term end date of March 31, 2024 with a strong possibility of extension.
PLEASE NOTE: This is a hybrid position and this position will be based in Cambridge, MA. Additional detail pertaining to this position will be discussed during the interview process. All remote work must be performed in a state in which Harvard is registered to do business (Connecticut, Massachusetts, Maryland, Maine, New Hampshire, New York, Rhode Island, Vermont, Georgia, Illinois, New Jersey, Virginia, and Washington).
Basic Qualifications
- Bachelor's Degree or equivalent experience is required.
- 3+ years of relevant experience is required.
Additional Qualifications and Skills
- Master’s degree preferred (international relations, public health, health care administration, business, education administration, science; other areas will be considered)
- Experience managing global projects in low- and middle-income countries, specifically with experience working in Africa, Asia, or Latin America.
- Prior experience with federal and non-federal sponsors/donors is preferred.
- Familiarity with humanitarian aid, global health, or international development.
- Experience with MS Word, Excel, Outlook, management software and communication technology tools such as Zoom, Microsoft Teams, etc.
- Fluent or highly proficient in spoken and written English. French is also desirable.
- Ability to manage complex project management plans with competing priorities.
- High degree of analytic ability to manage the financial aspects of the position. Familiarity and experience coordinating with financial and procurement departments such as supply chain management, accounts payable, and grants management.
- Excellent written, verbal, and presentation communication skills.
- Very strong interpersonal skills with demonstrated confidence and exceptional ability to communicate and collaborate with multicultural stakeholders across time zones and geographic locations.
- Highly organized with outstanding planning skills, flexible but able to meet deadlines.
- Strong analytical, organizational, and time management skills.
- Ability to manage team members, work harmoniously as a member of a team, adapt to diverse backgrounds and maintain a high standard of personal conduct. High degree of initiative, self-motivation, and ability to also work independently is required.
- Knowledge of and commitment to concepts and issues tied to social justice, gender sensitivity, diversity, equity, and inclusion, as well as professional ethics.
