JOB SUMMARY:

To maintain and retrieve Radiology files and result reports. To provide Radiology receptionist duties at desk and telephone. Performs patient scheduling and completion of all demographic and protocol specific information necessary for a complete scheduled exam.

JOB SPECIFICATIONS:

EDUCATION

High school diploma, GED or equivalent preferred. Completion of business school or related training, including computer courses preferred.

EXPERIENCE

Two years clerical or secretarial experience in a health care setting with computer based familiarity.

PREREQUISITE SKILLS

1. Demonstrated interpersonal skills to deal effectively and courteously with a diverse group of internal and external visitors and callers

2. Accurate typing at 30 wpm

3. Basic to intermediate skill in word processing

4. Knowledge of medical terminology

5. Ability in database management

6. Ability to learn and operate any and all computerized radiology information systems

7. Ability to organize and prioritize multiple tasks despite frequent interruptions

8. Ability to operate standard business machines, such as personal computer, fax machines and copier

9. Ability to work collaboratively with team members, hospital staff, physicians, and outside agencies

10. Demonstrated excellent verbal and written communication skills with preference to speaking English, Spanish or other languages

PATIENT PRIVACY (HIPAA Compliance):

Employees in this position have access to protected health information. The protected health information a person in this position can access includes demographics, date of service, insurance/billing, medical record summary information, and all other information that may be contained in patient records. This position requires patient health information to perform the functions outlined as part of this position description.


DUTIES AND RESPONSIBILITIES:

ESSENTIAL (not modifiable)

1. Answers telephones and provides standard information; provides limited screening of telephone calls, routes calls to other staff, and takes messages

2. Answers routine questions, provides information and responds to inquiries concerning departmental activities and operations by relating or referring to established policies and procedures; refers visitors to sources of information

3. Uses Radiology Information System as the source for maintaining accurate records required by Department Policy and Procedures. Must be familiar with and utilize the Radiology Information System functions as assigned by the Department manager and/or Information Systems Supervisor

4. Participates actively in the achievement of organizational and departmental goals

5. Responsible for assuring patient wait times are minimized

6. Attends and participates in in-services and staff meetings

7. Maintains standards of the organization and department

8. Abides by hospital policies on attire, work habits and relationships

9. Observes confidentiality and decorum in conversation and behavior

10. Assists in the orientation of new employees.

A. File Clerk

i) Utilizes the PACS system, for retrieving, and printing of studies as requested by physicians, patients, and hospital staff, to the standard of diagnostic quality set by Medical Director

ii) Upon request, reads or faxes patient reports to attending physicians and other facilities

iii) Obtains releases and prepares films to be picked up by patient

iv) Calls other facilities to retrieve films, reports, etc., for our Radiologists or physicians, when necessary

v) Prepares materials for subpoenas as directed

vi) Prepares materials for Tumor Board meetings

vii) Acts as a department liaison for physicians needing assistance and/or training for utilization of Magic Web (PACS online system)

B. Receptionist

i) Greets, directs, and receives patients at reception desk. Coordinates scheduled patient arrival with the appropriate exam-specific staff

ii) Acts as liaison between patient and technical staff

iii) Initiates patient orders in MISYS iv) Works with Admitting department to facilitate patient registration process

v) Assists Tech Coordinator

vi) Compiles, audits, crosschecks and forwards to HIM paperwork related to patient procedures on a daily basis

vii) Forwards problem account and account paperwork to the Radiology Supervisor daily

C. Scheduler

i) Responsible for timely, accurate and consistent scheduling of all Radiology patients

ii) Strong working knowledge of overall aspects of the scheduling process as it relates to patient admissions, pre admissions, insurance verification and customer service

iii) Maintains effective working relationship with external organizations and agencies, as required

iv) Responsible for creating and organizing new patient files, entering in patients’ prior medical history into database, and maintaining accurate record keeping relative to scheduling

v) Contacts patients by phone to verify or change appointments

vi) Responsible for obtaining diagnoses, blood work, and/or HandP’s from physician orders for radiological and nuclear medicine exams

vii) Prepares the pre-registration paperwork (by 10:30am) for Admitting

viii) Checks on pre-authorizations from doctors’ offices and patients and prepares for Admitting for next-day paperwork

ix) Organizes the next day’s paperwork, including:

1) Ensuring appointments are accurate

2) Proper blood work for CT’s and biopsies is obtained

3) Ensures all pertinent patient demographics are in MISYS

4) Unlisted physicians are entered into the scheduling module

5) Addressing any errors seen on the schedule

x) Checks on pre-authorizations from doctors’ offices and/or patients

xi) Organizes and faxes nuclear medicine schedule (by 10:30) to the technologists

xii) Prepares “insurance verification” for the special procedures cases

xiii) Faxes requests for HandP’s weekly

xiv) Maintains copies of schedules and orders for 10-12 months
