Provides assistance and support to visitors, staff, & residents in person and over the phone. Performs a variety of clerical job functions. Reports to: Supervisor, Medical Records


ESSENTIAL DUTIES:


1. Under minimal direction, transfers incoming calls to the appropriate locations, assists with the placement of outgoing calls, pages staff both overhead and through pagers, handles resident information inquiries and provides assistance to callers and visitors in a tactful, cheerful and professional manner.

2. Monitors lobby for resident and guest safety.

3. Greets visitors, guests, new residents and transporters and directs to appropriate unit.

4. Accepts and logs room and board payments, visitor meal payments, special activities fees, etc.

5. Assists potential new customers with pre-tour paperwork; locates staff to give tour; works with Admissions to ensure that Facility brochure is available at all times. Greets and directs transportation services and new residents upon arrival. Assists outside vendors for the delivery of O2, UPS, vendor deliveries, etc.

6. Responds to all emergency situations and evaluates situation for severity and appropriate notification of management personnel.

7. Notifies appropriate nursing station when a wandering patient attempts to leave through the front door or has a significant need for assistance.

8. Responsible for ‘opening/closing’ duties as required by shift.

9. Distributes incoming mail as needed and forwards resident mail in a timely manner.

10. Maintains workroom and lobby in an orderly manner. Monitors office equipment to ensure functionality. Makes service calls to vendors on an as needed basis. Maintains sufficient stock of forms and office supplies and orders as needed. Maintains reference binders/materials in a professional, organized manner.

11. Processes daily census in a timely manner (day shift only).

12. Carries out clerical duties assigned by Administrator or his/her designee. Assists with projects (i.e., copying, assistance with monthly invoices, building of resident surveys, brochures, pamphlets, etc.) from other departments that can be accomplished in a professional manner with minimal disruption of regular daily tasks.

6. Supports, cooperates with and demonstrates safe work practices and attitudes, follows safety rules – including universal precautions - reports and prevents/corrects unsafe conditions and behaviors, and participates in organizational and departmental safety programs.

7. Completes all required compliance standards that may be department specific and/or identified by the organization.

8. Maintains current licensure, registration and/or certification, as applicable, at all times.

A. Education / Training:


  • High School graduate or equivalent.

B. Work Experience:


  • Minimum one year in similar position; computer experience preferred.

C. Certification, Licensure, Registration:


  • None required.

D. Other Qualifications:


  • Self-directed; reliable; multi-tasking; quick thinking; able to handle stressful situations and multiple tasks; good organizational skills;good hearing and interpersonal skills; basic financial ability; computer skills helpful but not mandatory.

WORKING CONDITIONS:


A. Physical Effort:

  • Strength: Position requires incumbent to infrequently perform physical activities requiring ability to push/pull objects up to 20 pounds and occasionally lift objects of up to 30 pounds.
  • Manual Dexterity: Position requires incumbent to frequently perform simple motor skills such as answering a telephone, frequently perform simple and moderately difficult manipulative skills such as writing and typing.
  • Coordination: Position requires incumbent to frequently perform gross body coordination such as walking, filing, retrieving manuals, frequently performing tasks which require eye-hand coordination such as keyboard skills.
  • Mobility: Position requires incumbent to frequently perform mobility skills such as walking, standing, sitting and occasionally perform prolonged sitting.
  • Visual Discrimination: Position requires incumbent to frequently see objects far away such as locating a client company and to discriminate colors in industrial signs; occasionally to see objects closely s in reading faces or dials.
  • Hearing: Position requires incumbent to constantly be able to hear normal sounds with some background of noise and to distinguish sounds as voice patterns in telephone conversations with clients.

Mental Requirements:

  • Concentration: Position requires incumbent to constantly be able to concentrate on details with moderate amounts of interruptions such as staff requests, new projects, financial analysis and strategy, proposal preparation.
  • Attention Span: Position requires incumbent to attend to task/functions constantly for periods up to 60 minutes in length and frequently attend to task/functions constantly for periods exceeding 60 minutes in length such as complicated reports, contract negotiations and renewals.
  • Conceptualization: Position requires incumbent to frequently be able to understand and relate to specific ideas, concepts and theories multiply generated and simultaneously discussed.
  • Memory: Position requires incumbent to constantly remember task/assignments given to self and others over both short and long periods of time.

B. Work Environment

  • Position requires incumbent to be exposed to a variety of substances within the home office environment, corporate facilities and other sites such as electro-magnetic radiations as in VDT’s and occasionally to dust.
