Overview
Due to continued growth and to meet our ongoing business needs we wish to hire a Recruitment Administrator to join our OTS team here in Dublin. The OTS business is an extremely important part of the overall strategic plan for PM Group and as a result this is a key role within the organisation to support the success of PM Group into the future. The primary functions of this role will involve a high degree of administration support, candidate and client engagement, recruitment software systems oversight, timesheet management and accounting/financial support.
Responsibilities
Duties and responsibilities include but are not limited to the following:
Liaise with new starters and providers re; contract documentation, start details, contractor company options (Agency/Self Assessed), contract duration etc.,- Check ATS system to ensure that Candidate and Job profiles are up to date.
- Send Starter Details email to all New Starters
- Complete mandatory set up items where appropriate for specific clients (Fieldglass, Beeline etc.,)
Become a Super User on the ATS system for the OTS Department involving;
Create Clients, Client Contacts, Jobs, Candidates- Liaise with PM Group ATS Administration to resolve queries
- Organise OTS ATS update meetings
- Provide ATS Training and support to the Team
OTS SUPPORT to include;
Provide any training and support on the ERP system.- Be the point of contact for all OTS personnel regarding IT issues, ERP system, timesheets, expenses, invoicing, contracts, etc.,
- Fieldglass ā attend training sessions, update leavers, notification of SOW end dates.
- EazySafe ā purchase credits and manage where appropriate.
- Timesheets ā drive the weekly close out of OTS timesheets.
- Work closely with Finance team to get monthly close out of timesheets.
- Follow up with OTS site team to send in client signed timesheets and expenses.
- Substitute Approver on ERP system for OTS Manager for timesheets, expenses, and invoices.
- Sending out notifications e.g. annual schedule of payments
- Reports as requested by OTS Manager:
- Prepare Monthly or YTD OTS figures
- Prepare OTS Hours report from ERP system.
- Provide cover for OTS Co-Ordinator when required e.g. formatting CVās
Qualifications
The Candidate:
The ideal person for this role will be highly organised and have great attention to detail. Previous experience within a recruitment environment is advantageous although not essential. Excellent communication skills are crucial for this role in addition to excellent time management skills.
