POSITION SUMMARY:
The Research Support Specialist reports to the designated Study Site Coordinator and/or Office Manager in the USF Cognitive Aging Lab. This position provides support to and collaborates with the study team for all operations ranging from administrative support of research (for example, assisting with purchasing) to coordinating and facilitating communication (for example, taking minutes at team meetings) to ensuring data quality control (for example, entering and checking data). The position requires reading and following detailed protocols and communicating clearly both verbally and in writing. The position requires learning to proficiently use software such as MS Teams, Box, and REDcap. Position can be hybrid in-office and from at-home after initial training and with continued
satisfactory performance.
RESPONSIBILITIES:
Organizes and arranges virtual and in person research team meetings. Supports and facilitates research team communications. Prepares and distributes team meeting agendas. Facilitates communication among Principal Investigator and research team members by composing written correspondence. Facilitates communication among Principal Investigator and team members in weekly and monthly group meetings by asking questions, taking detailed minutes, and distributing minutes. Asks questions during group meetings to ensure understanding and to obtain necessary details. Meets both weekly and monthly deadlines. Monitors email and voicemail and conveys information to appropriate team members. Makes appointment reminder telephone calls to study participants. Sends communication to study participants by mail and email. Effectively and professionally communicates sensitive information and maintains confidentiality.
Keeps records of assigned research team tasks by entering into database. Ensures proper user access to Box files and REDCap databases. Explains operational procedures to study staff. Shares Box links to files needed for research team members appropriately. Reviews research team member certifications monthly to make sure are up-to-date. Corresponds with and obtains up-to-date team member certifications monthly as needed. Reminds team members of pending deadlines. Requests team member updates and communicate progress. Updates files of study documents to ensure version control. Ensures participant materials are compiled correctly with up-to-date versions. Recommends changes to procedures in order to facilitate protocol compliance and effective team collaboration. Plans, organizes and coordinates multiple work assignments while establishing and maintaining effective working relationships with others. Works with minimal supervision.
Uses REDCap to manage data, team tasks, resources, supplies, and purchasing needs. Ensures team is equipped with necessary and up-to-date materials and supplies. Manages and organizes research documents, equipment, supplies, and inventory. Composes correspondence and obtains signatures on study related documents. Assists with team travel arrangements, authorizations, and related reports.
Interprets rules and regulations pertaining to research to ensure compliance, consistency, and quality control in research projects. Enters research data into and exports data from REDCap or similar databases. Compiles data reports. Resolves inconsistencies shown in data queries to correct errors and ensure accuracy. Checks entered data for accuracy to maintain quality control. Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent and four years of experience in office or administrative support or in research support. College education may be substituted for the required experience on a year for year basis.

Excellent keyboarding skills. Computer literate in: Windows, Microsoft Word, MS Teams, Box, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook, and internet browsers.
