A full-time, permanent, vacancy has arisen for the role of Senior Administrator in our Vhi 360 clinic in Carrickmines.
The successful candidate is responsible for supporting the Clinic Manager/Site Manager in the overall operation and performance of the services they are assigned to.
The Senior Administrator will provide administration and operational support across assigned service/clinics, playing a critical role in delivering operational objectives of their service/clinics. This role will primarily support the AIC and Dental clinics. Reporting to the Site Manager, the Senior Administrator will have accountability for leading the administration team, championing KPIs for the service/clinics and will have a clear focus on achieving these under the direction of the Head of Operations, Carrickmines.

Key responsibilities will include but are not limited to:
- Espouse the mission, values and related behaviours of Vhi Health & Wellbeing. Play a lead role in promoting a positive, engaging culture in line with the values of the organisation
- Championing a culture of accountability and personal responsibility for performance. This should be in line with objectives that are set out for each administrator by the Site Manager/Head of Operations and managed via performance reviews that are carried out annually
- Standing in for the Site Manager in interviews/selection process with HR for new hires on Administration team.
- Building relationships with Clinical staff operating within assigned service/clinics.
- Collaborating with colleagues across the facility, and the broader Health & Wellbeing structure, to deliver optimum performance levels and provide the ultimate goal of exceptional patient experience
- Champion clinic KPIs relating to patient experience and pursue associated targets
- Delivering an action plan for the administration team as required to optimise performance results from any patient satisfaction surveys that are conducted
- Supporting Site Manager in the local management of incidents and complaints and for feeding into the wider group process; while ensuring clear and constructive communication to the patient.
- Acting as first line in management of verbal/written complaints from patients in absence of Site Manager.
- Be relentless in pursuit of consistency of excellence in the context of quality and safety
- Actively participate in accreditation and other quality focused initiatives for the service line
- In conjunction with Site Manager and central H&W Quality Safety and Risk framework ensure the assigned service/clinics are in compliance with statutory Health and Safety requirements so a safe environment is provided for patients and staff
- Supporting the Site Manager in Health & Safety issues relating to the clinics in the service line.
- Communicating learnings to admin team following investigation of customer service based complaints/incidents
- Deputise for Site Manager at Local Management Team meetings (LMT) meetings & huddles where needed
- Playing a leading role from administration perspective in achieving and maintaining accreditation standards for the clinics in the service line
- Managing the operational running of assigned service/clinics
- Deputising for Site Manager on and out of hour’s rota and during periods of annual leave.
- Effectively manage any staff queries in absence of Site Manager
- Overseeing the management of rosters and scheduling that support assigned service/clinics
- Providing direct administrative support to assigned service/clinics
- Supporting the successful roll-out of additional clinics as appropriate
- Providing direct administrative support for appointment pads that support assigned service/clinics
- Attending Governance meetings as directed by the Head of Operations/Site Manager
- Providing input at workforce planning meetings with the Site Manager where required
- Playing a lead role in finance based activities; payroll, management of petty cash, billing errors for the service/clinics
The successful candidate must have:
- Minimum 3 year’s administration experience
- Demonstration of leadership skills in previous roles
- Degree level qualification in business, health care or related area desirable
- Experience of working in a Healthcare setting beneficial
- Patient/customer focused and demonstrating the related skills necessary to manage a clinical environment
- Good analytical ability
- Awareness of risk management in a clinical environment
- Excellent communication and interpersonal skills
- Strong focus on accuracy and attention to detail
- Competent IT skills
- Typing skills are an advantage
- Proven ability to foster collaboration, teamwork and to develop others
- Good planning and organising skills
