Budget Title: Staff Assistant (SL-2), Full-time, Temporary. This position is funded by a 3-year grant.

Salary: $44,374 - $45,000

Watson Industrial Outreach Office is part of the Thomas J. Watson College of Engineering and Applied Science and provides workforce development, continuing education, and industry outreach services to the engineering community and technology-intensive industry. As part of the office's mission, we provide regular seminars, symposia, and online short courses, provide micro-credentials, and conduct workshops, conferences, and other programs for the engineering community and beyond. These programs address emerging engineering issues vital to innovation, emerging technologies, social well-being, and global competitiveness.

The Support Staff (SL-2) position will support the Watson Industrial Outreach mission with the primary focus on the Strategic Partnership of Industrial Resurgence. The Support Staff will perform various administrative support functions, frequently of a complex and confidential nature, and will report to the Director of the Watson Industrial Outreach office. This position will provide critical support to a diverse team, with the goal of advancing the office's mission.

Responsibilities include but are not limited to:

  • Coordinate the SPIR program from company proposal submission to project completion and coordinate communication with key stakeholders during this process.
  • Assist with SPIR reporting on program outcomes and metrics on a regular basis.
  • Assist with preparing SPIR client and student contracts and other agreements using existing templates and coordinating digital signatures using DocuSign.
  • Assist with preparing SPIR budget reports and presentation materials for advisory board meetings.
  • Assist with continuing education duties such as course registrations, course enrollments and preparing the Learning Management System (our LMS is currently Brightspace) for new course offerings.
  • Assist with event planning and logistics for workshops and events.
  • Assist with hiring processes including posting positions, interview scheduling, preparing and submitting hiring paperwork to the Human Resources offices, and onboarding new hires.
  • Assist with workflow submissions for invoicing, reimbursements, and purchasing card reconciliations using the Binghamton University business systems.
  • Use Google e-mail on a daily basis, schedule and confirm zoom meetings and in-person meetings using Google calendar. Create and maintain Google Drives files and shared documents, as needed.
  • Assist with maintaining and updating local websites, LMS, and databases.

  • Bachelor's degree
  • A minimum of 4 years of progressive experience in a professional office setting
  • Must be highly motivated and detailed oriented with the flexibility to multi-task
  • Must have the ability to perform in a professional and dynamic environment
  • Must be able to collaborate and communicate with a diverse group of individuals including faculty, staff, senior administrators, industry partners, students, and visitors
  • Must possess strong oral/written communication skills
  • Must possess technical expertise in business management tools including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (G-suite)

Preferred:

  • Bachelor's degree in a technology or applied science area
  • Knowledge of the Binghamton University Campus
  • General understanding of Binghamton University campus processes
  • Work experience using social media; proficiency with editing/updating web-based information and databases Some work experience with Brightspace Learning Management System (LMS)
  • Budgets and financial administration experience
