The Portfolio Support Services Manager leads, oversees and provides the critical portfolio support function for KS' efforts in Community which is currently represented in KS' Kaiaulu. As a member of the Hi'ialo leadership team, this individual will work closely with the Vice President of Hi'ialo and must be a seasoned professional who is able to build a team and work effectively cross-functionally and with executive to staff level personnel. The functions of this portfolio support unit include but are not limited to: the development and implementation of performance monitoring, evaluation and reporting of KS Kaiaulu's portfolio towards set outcomes and measures; the execution of the process that develops, tracks and monitors KS' community partnership agreements and investments; data analytics; and facilitation of necessary internal discussions and collaborations in support of KS' community portfolio.
Job Summary
Leads and adds value to inform, influence and support organizational goals and strategies through the development/planning, implementation, monitoring and communications of enterprise-level strategy and key initiatives.
Essential Responsibilities
Enterprise-level Strategy Development and Implementation
- Leads enterprise-level strategy development and planning efforts.
- Business Strategy/Impact – Takes an active leadership role in overall business strategy development and alignment; initiates and contributes organic solutions, alternative plans and models.
- Partners with executive leadership to actively lead and influence the design, selection, management and implementation of KS ‘ enterprise portfolio
- Researches, interprets, analyzes and evaluates data and present business/financial information to inform and influence of strategic recommendations and decision-making.
- Using project management, analysis and business process skills plan, deliver on, evaluates and lead multiple critical strategic initiatives and/or groups concurrently that have enterprise implications with high quality results and within set parameters.
- Initiates and develops implementation programs and leads multidisciplinary team to execute initiative/project deliverables including budget and cost management.
- Change Management – Guides, manages, trains and supports unit leadership and teams through changes associated with specific organizational initiatives and projects. Agent of change who can effectively adjust approach and efforts accordingly in shifting situations and ambiguity.
- Innovation – Leads design and facilitation of innovative frameworks, approaches and models to assess organization opportunities for transformational change.
Monitoring and Reporting
- Takes an active leadership role in the shaping and implementation of short and long range system-wide educational and community engagement planning efforts via facilitation of discussion, statistical, organizational and/or program analyses.
- Works with executive leadership to actively lead and influence strategy-level performance measurement, evaluation, monitoring and reporting to update and inform leadership on organization performance, work progress and active/emerging issues or initiatives.
Communications and Collaborations
- Excellent listener who leads in facilitating, guiding and shaping clear and consistent communications and information sharing within S&I and between all organization levels (CEO, Vice Presidents, inter-KS groups and staff).
- Constructs, implements and assesses project and program level communications strategies.
- Enables and ensures collaborative cross-functional teaming and are responsive and flexible to the variety of KS needs (organization, community, function).
- Regarded as skilled group facilitator and demonstrates ability to build consensus across groups.
Leadership and Management
- Serves as trusted thought partner to executive and group/divisional leadership.
- Builds, leads, manages and motivates teams to high levels of performance through clear expectations, development, creative problem solving and appropriate delegation.
- Ability to build and maintain project team performance while dealing with high pressure deliverables and deadlines. Ability to influence others through setting of shared goals, communication, data sharing and transparency. An excellent negotiator who is able to cultivate and manage relationships with all team members. Fosters and maintains a high performance environment based on teamwork, commitment, accountability, cooperation, collaboration and direct, timely feedback.
- Coaches, mentors and evaluates junior staff.
Position Requirements
Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.
- Bachelor's Degree in Business, Education, Social Science or related fields.
- Minimum of 10 years of related experience in management consulting, systems integration, education or related field, including a minimum of 5 years of project management, enterprise initiative leadership, or operations leadership.
- Consistently demonstrated ability to remain flexible in a demanding work environment and to adapt to a rapidly changing environment.
- In-depth consulting and organizational knowledge aligned to organizational objectives.
- Outstanding organizational, analytical and problem solving skills.
- Strong team leadership and influencing skills; ability to gain respect without authority.
- Superior skills and resourcefulness to research, synthesize/analyze and draw logical conclusions.
- Strong communication, project management, analysis and presentation skills (oral and written).
- Exceptional emotional quotient and interpersonal skills.
- Strongly demonstrated ability to think systemically and critically including identify issues and opportunities.
- Proven aptitude to be able to keep and manage highly confidential information.
- Ability to travel to various locations, including neighbor islands to conduct business.
- Ability to work evening and weekend hours as needed to meet goals and objectives.
Preferred Qualifications
- Licenses and/or certifications in respective fields of related work (e.g. PMP, Six Sigma, IIBA, or ASQ certification).
- Previous experience working in an indigenous, education or nonprofit setting.
- Knowledge of Hawaiian culture, history and/or language.
- National or international experience.
Physical Requirements
- Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
- Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
- Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions
- This position may involve traveling to various locations, including neighbor islands to conduct business.
- Work is conducted in an office environment and may require work to be conducted in non-standard workplaces.
- Work is typically conducted Monday through Friday at normal business hours.
