The Time Away Programs and Benefits Supervisor is responsible for managing all aspects of the Company’s time away programs, processes, and policies. This includes compliance with the company’s leave programs, the Americans with Disabilities Act (ADA), Family Medical and Leave Act (FMLA) and all federal, state, and municipal leave laws and requirements. This position is the primary contact for Managers and HR Business Partners (HRBP’s) for all program management questions and elevated leave administration issues. This position will review and analyze leave utilization, make recommendations on strategies to maintain cost effectiveness and implement changes and enhancements to our benefits. This position is a key role within the broader benefits team and will be involved and engaged in other non-leave related benefit plans and programs.
Key Areas of Responsibility
Relationship Management – internal and external
Act as a resource to educate HR or management on leave of absence policies, procedures, legal requirements, and aid team members in understanding the benefits offered to them and their eligibility requirements. This could be on an ad hoc individual basis or periodically in a group setting.
Partner with key stakeholders on sensitive and complicated LOA matters while adhering to strict privacy and confidentiality requirements.
Serve as the key person for contracting, change orders and the ongoing management of service level agreements with the vendor providing leave administration software.
Work closely with the Manager, Health and Welfare on the relationship with our long-term disability (LTD) insurer for annual renewals, coverage interpretations and overall relationship with this key vendor.
Partner with the consultant engaged to provide premium billings for health coverage for those in receipt of LTD.
Manage the flow of communication to all partners including HRIS, OxyLink (Employee Service Center), Occupational Health and HR Leadership.
Advises managers and others on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.
Alerts and collaborates with HRIS and vendors when necessary to resolve discrepancies and to find the root cause of the error.
Leave Program Management
Conducts audits of STD/FMLA/PFL etc. claims.
Coaches and mentors’ individuals within the organization as it relates to Leave Program Management.
Develop and streamline our policies and practices for leave of absence administration.
Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws.
Monitor benefit premium payments for employees on unpaid leave for premium collection activities and correspondence.
Develop and maintain tracking and reporting framework; produce regular, timely reporting and analysis to key stakeholders.
Develops strategy and clear, specific, and ambitious performance measures for individual projects that are easily translated into individual work goals and deliverables for other team members.
Creates detailed timelines for each initiative; assesses and tracks project progress regularly using various computer programs and tools; and drives project completion holding others accountable for responsibilities and deadlines. Anticipates, identifies, and resolves complex obstacles to success of overall program as well as specific projects.
Maintain in-depth knowledge of legal requirements related to leave administration, reducing legal risks, and ensuring regulatory compliance. Ensure that all federal and state requirements are met, and that proper documentation is maintained.

Updating and maintenance of HR system procedures, user guides, FAQ’s, tool kits, forms, and training materials.
Identify and recommend opportunities for continuous process improvement; create efficiencies through understanding system capabilities and streamlining processes.
Collaborate with third-party vendors to monitor market trends in the leave community, make recommendations, initiate new programs, practices, and techniques for continuous improvement and align with company objectives and the changing needs of our growing workforce.
Non-Leave Benefit Administration
As a key member of the overall benefits teams, you will work closely with our centralized benefits delivery service center on annual initiatives like open enrollment, benefits road shows, communications retirement, and savings program delivery.
- Bachelor’s degree in human resources management or related field of study.
- A minimum of 5 years HR or leave management experience, preferably in the oil and gas industry.
- 5 years of supervisory experience is preferrable.
- Project management skills and the ability to multi-task by managing the priorities of multiple clients.
- The ability to work with and maintain information of a highly confidential and sensitive nature.
- Knowledge of Federal, State, and local regulations related to leaves including FMLA, state-specific entitlements, ADA, USERRA, HIPPA, and company-specific leave programs.
- Strong interpersonal skills with the proven ability to work effectively with individuals at all levels both internally and externally.
- Strong organizational, analytical, and problem-solving skills.
- Strong verbal and written communication skills, including effective business writing, strong presentation, public speaking skills to deliver training initiatives and related topics to large, small, and broad audiences.
- Experience working in case management and HR information systems.
- Knowledge of business and management principles, experience in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.
- Proficient in MS office suite.
- Flexible and creative; the ideal candidate brings a positive, high-energy attitude.
- Strong vendor management experience.
